Requirements:

The Project Coordinator provides direct operational and administrative support to the Project Manager within the Delivery organization. This role is the connective tissue between workstreams, keeping tickets current, documentation organized, meetings productive, and project status visible. The ideal candidate is a self-starter who takes ownership without waiting to be directed: proactively identifying gaps, surfacing blockers, and driving follow-through before issues escalate. They are proficient in project and work management tools, detail-oriented, and comfortable operating in a fast-moving federal government contracting environment where accuracy and follow-through are non-negotiable.


Jira & Ticket Management

  • Maintain ticket health across all active project boards, ensuring status, assignee, priority, and due dates are current and accurate
  • Create, update, and close Jira tickets in accordance with project workflows and PM direction
  • Proactively monitor sprint progress and flag blockers, stale tickets, or misaligned priorities to the PM without waiting to be asked
  • Generate and distribute Jira-based status reports and ticket summaries on a recurring cadence
  • Enforce ticket hygiene standards and support the team in consistent Jira usage

Meeting Coordination & Documentation

  • Schedule, prepare agendas for, and facilitate recurring project meetings including standups, reviews, and stakeholder syncs
  • Capture detailed meeting notes and action items, distribute to participants, and track completion in Jira
  • Maintain a master action item log and follow up on outstanding items with owners, proactively chasing closure rather than waiting for check-ins
  • Coordinate across internal teams and client stakeholders to ensure meeting readiness

Project Documentation & Reporting

  • Maintain organized, up-to-date project documentation in SharePoint or designated document repositories
  • Draft and distribute project status updates, weekly reports, and executive summaries under PM direction
  • Support the PM in tracking deliverables, milestones, and dependencies
  • Assist with preparation of client-facing materials and internal reporting packages

Operational Support

  • Serve as a coordination point between the PM and technical, operations, and growth teams
  • Track risks and issues logs and ensure items are assigned, documented, and escalated appropriately
  • Support onboarding of new project team members with access, documentation, and process orientation
  • Contribute to continuous improvement of project management processes and tooling

Qualifications

  • 2+ years of experience in a project coordinator, contracts analyst, PMO analyst, or similar operational support role
  • Demonstrated proficiency in at least one agile project or work management platform (Jira, Asana, Monday.com, or similar); ability to learn new tooling quickly
  • Strong written communication skills with the ability to produce clear, professional documentation and meeting notes
  • Excellent organizational skills and the ability to manage multiple concurrent priorities without dropping details
  • Self-starter mentality: identifies what needs to be done and acts on it without requiring direction
  • Experience in a government contracting or similarly structured environment is strongly preferred
  • Proficiency in Microsoft 365 (Teams, SharePoint, Outlook, Excel)

Preferred

  • Familiarity with agile or hybrid project delivery frameworks
  • Experience supporting a PM or Director in a client-facing program delivery role
  • Exposure to federal health programs, healthcare IT, or data transformation workstreams
  • Hands-on Jira experience, including board management, sprint tracking, reporting, and ticket workflow configuration
  • Associates or Bachelor’s degree in business, information systems, healthcare administration, or a related field
