Job Summary

This position will work with the Vice Dean of Institutional Effectiveness (IE) to provide a wide range of administrative support for the alignment of operations of the school with LCME and other accreditation body standards, as well as continuous quality improvement (CQI) processes across all divisions of the school, including the graduate programs and Salus. This position will coordinate the necessary data collection/management, meetings, and reports that are required to evaluate program effectiveness throughout the COM. In addition, this position will provide administrative support for creating and delivering the new 3-year DUCOM MD track. This position will provide administrative support for special projects, strategic planning, or innovative programs created by the Office of IE. This position will interact and collaborate with COM offices responsible for the missions of medical education, research, faculty affairs, and community health, as well as the university, to achieve these goals. The position provides executive level assistance and administrative support to the Vice Dean of IE, performs diversified duties, maintains confidential data, and ensures a smooth flow of office processes and functions.

This position is grant-funded; employment is contingent upon the continued availability of those funds.   

Essential Functions

  • Create, manage, and update LCME and CQI databases and files.
  • Coordinate with program leads for 6 other accrediting bodies within CoM.
  • Coordinate, attend and take minutes for standing committees that the Vice Dean of IE chairs, such as the Accreditation Oversight and Quality Assurance Committee, and assist with associated pre-meeting and/or post-meeting correspondences and tasks (e.g. agendas, RSVPs, minutes, letters).
  • Administratively support the new 3-year DUCOM MD track, including support with program creation, liaison with GME partners, LCME approvals, and continued program support once students matriculate.
  • Coordinate standing and ad hoc meetings with leaders of various COM divisions in order to collect CQI and LCME data and evaluate effectiveness of CQI plans.
  • Cross-cover maintenance/scheduling of calendar, coordination of meetings, and travel arrangements for Vice Dean of IE, when admin coordinator is away.
  • Organize data for CQI, LCME, strategic planning, and special projects, especially as it relates to report creation for various purposes (e.g. LCME update and annual reports).
  • Assist the Vice Dean of IE with report generation for the LCME, the Education Coordinating Committee, the Executive Committee of the Faculty, and other standing bylaw committees of the COM.
  • Assist the Vice Dean of IE and the Faculty Accreditation Lead with the administrative processes of the LCME self-study and cyclical accreditation survey visits, including the Data Collection Instrument, the Institutional Self Study Report, and Independent Student Analysis. (This role will be expansive starting in the FY27 year as the self-study will be ongoing.)
  • Assist the Vice Dean of IE with developing training materials for faculty and staff on key principles of CQI as they relate to LCME standards.
  • Manage operational and business functions within the Office of IE, including budgeting processes.
  • Assist in development and execution of special projects as assigned. 
  • Other duties as assigned

Required Qualifications

  • Minimum of a Associate's Degree or the equivalent combination of education and work experience. (Please review the Equivalency Chart for additional information.)
  • Minimum of 1 year experience
  • Excellent verbal and written communication and interpersonal skills
  • Strong organizational skills
  • Ability to handle confidential information and exercise discretion
  • Demonstrated flexibility in organization of workflow and adaptability to changing tasks
  • Detail-oriented with ability to multi-task and problem-solve in a fast-paced environment, and prioritize tasks effectively
  • Ability to work collaboratively within various teams, including faculty and staff from multiple divisions
  • Ability to interact with discretion and confidentiality
  • A self-starter who takes initiative and is willing to learn new software and products
  • Proficient knowledge & experience with Windows products; Proficient in Microsoft Office Suite (Word, PowerPoint, Excel)

Additional Information

This is a Part-Time per diem position classified as Non-Exempt. The offered pay is based on the successful candidate's qualifications and experience, department budget, and an internal equity review.
