ASTORIA SCHOOL DISTRICT 1C

JOB DESCRIPTION

JOB TITLE:ย  #467 - Attendance Secretary 8 hours Grades 6-12 AMS & AHS 2026/27 SY

REPORTS TO:ย  Principal or Designee

EVALUATED BY:ย  Principal or Designee

JOB SUMMARY:

The Attendance Secretary performs a variety of clerical work related to student attendance and discipline. The Attendance Secretary greets students and their parents, obtains written and verbal information regarding absences and inputs this data. This person works closely with the building administrator obtaining and inputting data pertaining to discipline issues. The position requires some use of independent judgment, but the work is generally performed under well-defined rules, standards, policies and procedures.ย  Acts as support for basic medical needs and medication administration in the absence of the school nurse.

QUALIFICATIONS OF POSITION:

  • High School Diploma or equivalentย  knowledge, experience or training as required by OAR 581-37-030, Oregon Department of Education.
  • Must be 18 years of age.
  • Must be able to pass a background check.
  • Computer and the general use of applications.
  • Proficiency with office productivity software (e.g., Microsoft Word, Excel, or equivalent).
  • Accurately transfer, record and convey information.
  • Produce accurate reports and relay information to other team members.
  • Filing and record keeping systems.
  • Student behavior and methods to assure proper conduct.
  • Office machines and their operation.
  • Communicate with parents, students, and other staff in a professional and welcoming manner.
  • Proper first aid procedures.
  • Perform physical requirements which may include:
  • Moderate degree of physical stamina
  • Frequent standing, walking, bending, and occasional lifting up to 50 lbs.
  • Ability to use a telephone, computer, and other office equipment
  • Ability to make frequent trips to and from desks, counters, etc. as well as other areas in the school building.ย 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Maintains organized files and attendance records.
  • Records daily attendance into the Student Information System and monitors period by period attendance of individual students.
  • Makes contact with parents/guardians to verify absences.
  • Processes telephone and written messages regarding student attendance.
  • Monitors all attendance records and correspondence with parents regarding the number of student absences and/or tardies their student has accumulated.
  • Provides reports to appropriate staff regarding attendance issues.
  • Communicates with outside authorities in regard to students under their care with teachers/staff.
  • Processes and inputs all discipline data into student information software programs (Synergy, etc.).
  • Process student information software (Synergy, etc.) data and reports to support student attendance.
  • Processes all discipline paperwork and gets copies to the appropriate parties.
  • Oversees student aides who help with the delivery of student messages.
  • Provides first aid support and assistance with medication administration, as directed by school policy.
  • Greets students and parents in a professional manner as they enter the office.
  • Answers phone and fields questions from the public.
  • Knowledge of Astoria School District Policies and building procedures.
  • Regular and acceptable attendance is required.
  • Acts as a mandated abuse reporter.
  • Other duties as assigned.

ADDITIONAL INFORMATION: This is an 8 hour/day position. 4 hours/day at Astoria Middle School and 4 hours/day at Astoria High School.
