JOB PURPOSE
The HealthOne Agency Specialist is responsible for serving as a primary agency contact for clients, insurance carriers, enrollment support, and day-to-day agency operations. This role functions as an agency representative, enrollment resource, and call center contact by assisting clients with coverage questions, processing policy activity, supporting enrollment needs, maintaining accurate records, and coordinating directly with carriers and internal departments. The position supports the growth and retention of the Agency's book of business by delivering responsive service, accurate processing, consistent follow-through, and seamless communication related to enrollments, payments, commissions, policy changes, and other carrier-related activities.

ESSENTIAL JOB DUTIES
Manages and performs the daily operational responsibilities of the HealthOne Agency
Provides exceptional client service by directly assisting clients with insurance questions, enrollment needs, policy updates, coverage options, billing questions, claims status, and service requests
Serves as a primary point of contact for insurance carriers, addressing inquiries related to policy management, claims, coverage options, enrollments, and service requests
Manages and maintains accurate client records, policy documents, and related paperwork to ensure compliance with industry standards
Guides clients through enrollment processes, required documentation, eligibility questions, coverage selections, and follow-up needs in accordance with company procedures and applicable regulations
Processes policy enrollments, renewals, cancellations, agent of record changes, and amendments efficiently while coordinating directly with carriers to confirm updates and resolve outstanding items
Ensures compliance with confidentiality, data protection, and industry regulations
Oversees scheduling of appointments, meetings, and communications to optimize Agency operations
Serves as a primary call center representative for the Agency by answering incoming calls, responding to client and carrier inquiries, documenting interactions, escalating issues when appropriate, and maintaining timely follow-up
Maintains consistent availability during designated call center operating hours to support client, carrier, and team needs
Conducts and supports onsite enrollments and enrollment meetings, including preparation, participant assistance, benefit and coverage guidance, documentation, and post-enrollment follow-up to ensure a positive enrollment experience
Coordinates directly with internal departments to resolve enrollment, billing, payment, commission, and service-related issues, ensuring timely follow-through from request to completion
Processes and assists with billing, payment processing, invoicing, and commission tracking, working closely with finance and accounting teams to ensure accuracy, reconciliation, and timely payments
Ensures data is accurately processed into appropriate systems for tracking and reporting purposes
Documents all client, carrier, enrollment, and call center interactions accurately in the appropriate systems to support service continuity, tracking, and reporting
Prepares reports, tracks renewals, and monitors insurance claims, enrollment activity, and policy status to ensure timely action and accurate reporting
Serves as an agency representative by assisting clients with insurance questions, enrollment processes, required documentation, eligibility questions, policy updates, and next steps within the scope of licensure and company procedures
Maintains regular and predictable attendance
Consistently demonstrates compliance with HIPAA regulations, professional conduct, and ethical practice
Works to encourage and promote Company culture throughout the organization
Other duties as may be assigned

QUALIFICATIONS
Associate's degree in business administration, Insurance, or a related field preferred
Minimum of 3-5 years of experience in customer service, call center, office administration, insurance, healthcare, or agency operations preferred
Active Georgia Accident, Sickness, and Life Insurance License preferred; required within the company-designated timeframe after hire. Candidates who do not currently hold the license must obtain it within the required timeframe after hire. The company will provide paid study time and cover the cost of the licensing exam.
Familiarity with medical insurance terminology, policies, and claims processes is highly preferred
Strong organizational and time-management skills with the ability to prioritize tasks in a fast-paced environment
Excellent communication skills, both written and verbal, with a customer-oriented approach
Bilingual (English/Spanish) proficiency is preferred but not required
Proficiency in office software (Microsoft Office Suite, CRM systems, etc.) and the ability to learn new software programs quickly
Strong attention to detail and accuracy, with the ability to handle confidential information

PHYSICAL REQUIREMENTS
Prolonged periods of sitting at a desk and working on a computer. Moderate to significant amount of stress in meeting deadlines and dealing with day-to-day responsibilities. Must be able to drive a vehicle and daytime/overnight travel as required.
