Position Summary:
The Affiliate Support Specialist is responsible for supporting all aspects of the affiliate program, including recruitment, onboarding, training, retention, and day-to-day affiliate support. This position serves as the primary point of contact for independent travel advisors, ensuring they successfully complete enrollment requirements, receive proper training, understand company programs, and have the tools and resources necessary to grow their business.
The Affiliate Support Specialist provides exceptional customer service while assisting affiliates with booking inquiries, invoicing, commission questions, supplier programs, promotions, operational procedures, and company systems. This role works closely with multiple internal departments to ensure affiliates receive timely and accurate support.
Essential Duties and Responsibilities:
Affiliate Recruitment & Onboarding
  • Guide prospective affiliates through the enrollment and onboarding process.
  • Ensure all required contracts, forms, and documentation are completed and signed.
  • Register new affiliates for required training programs, supplier portals, and company systems.
  • Maintain accurate affiliate records, profiles, and documentation.
  • Conduct follow-up communications with prospective affiliates and new members.

Affiliate Support & Relationship Management
  • Serve as the primary point of contact for affiliate inquiries via phone, email, and other communication channels.
  • Provide accurate information and assistance in a timely manner.
  • Assist affiliates with booking issues, supplier questions, promotions, policies, and operational procedures.
  • Support affiliates with invoicing, payment procedures, commission inquiries, and report generation.
  • Work with internal departments to resolve affiliate concerns and escalations.
  • Communicate company updates, supplier promotions, training opportunities, and program enhancements.
  • Maintain a high level of customer service and affiliate satisfaction.

Administrative & Program Support
  • Maintain affiliate databases and program records.
  • Monitor compliance with contracts, program requirements, and documentation standards.
  • Assist in maintaining and updating affiliate manuals, procedures, and program documentation.
  • Prepare reports related to recruitment, onboarding, affiliate activity, and retention.
  • Assist with affiliate events, trade shows, webinars, networking opportunities, and company meetings.
  • Perform data entry, record maintenance, and general administrative support functions.

Invoicing & Operational Support
  • Assist affiliates with ABC/ABE invoicing processes and invoice research.
  • Support commission tracking and submission processes.
  • Work with Accounting to ensure commission submissions are accurate and timely.
  • Assist affiliates with company systems, booking tools, and operational resources.
  • Provide troubleshooting assistance for routine system and process-related issues.

Sales & Retention Support
  • Conduct outreach to prospective, inactive, and existing affiliates.
  • Support membership retention initiatives and renewal efforts.
  • Follow up with affiliates regarding account activity and program participation.
  • Assist with programs and initiatives designed to increase affiliate engagement, growth, and retention.
  • Help identify opportunities to improve affiliate satisfaction and program success.

Additional Responsibilities
  • Attend trade shows, training events, and industry functions as required.
  • Represent the company professionally when interacting with affiliates, suppliers, and industry partners.
  • Perform additional duties as assigned by management.

Qualifications:
Required
  • High School Diploma or equivalent.
  • Strong customer service and interpersonal skills.
