Job Summary:


We are seeking a talented, detailed oriented Administrative Assistant to join the PURIS team. Working closely with the Operations team and management, the Administrative Assistant will be responsible for assisting in all day-to-day operations of the local office. 


Essential Job Accountabilities: 

  • Assist in day-to-day operations of the office.
  • Digital documentation management.
  • Prepare and track subcontract agreements and required documentation.
  • Assist with business insurance tracking, updating and renewals.
  • Register and maintain state licenses and contractor requirements.
  • Communicate with all company personnel as needed.
  • Answer incoming telephone calls.
  • Receive and date all incoming mail and distribute.
  • Receive and distribute all incoming faxes.
  • Greet all visitors.
  • Receive all special delivery packages.
  • Prepare and maintain tracking spreadsheets under the direction of the Administrative Manager.
  • Assist in preparing letters, and proposals/price quotes.
  • Track and order office supplies.
  • Update and distribute all company meeting notes.
  • Complete filing of all project documents.
  • Complete special holiday mailings & orders.
  • Schedule the company conference room for interviews, meetings and training.
  • Acquire project specific bonds and insurance certificates.
  • Prepare and distribute project specific submittals.
  • Maintain all vehicle files including the ordering of all appropriate registrations, waste hauling permits, EZ-passes, and mileage & fuel tracking.
  • Always have the “Good of the Company” first when making all business decisions, while maintaining a high level of professionalism with employees, customers, vendors, suppliers and the public.
  • Perform other duties as directed.


Experience and Qualifications:

  • Excellent communication skills (i.e. verbal, phone, written & listening)
  • Professional personality and attire.
  • Ability to handle multiple projects at the same time.
  • Flexibility to adjust and make changes.
  • Ability to develop and maintain positive relationships with clients, prospects, and company personnel.
  • Demonstrated proficiency with Microsoft Office products.
