Job Overview
The Administrative Support Specialist serves as a key support role within the Administrative department, helping ensure smooth day-to-day office operations and a positive experience for customers, visitors, and employees. This position is responsible for handling inbound communication, supporting administrative processes, assisting with office coordination, and partnering with departments across the company to keep operations organized and running efficiently.
This role is ideal for someone who is organized, proactive, customer-focused, and comfortable working in a fast-paced, team-oriented environment.
Requirements
Duties & Responsibilities
  • Deliver exceptional customer service by professionally managing a high volume of inbound phone calls, emails, and in-office inquiries.
  • Assist customers seeking evaluations by gathering information, answering questions, and directing them to the appropriate team members.
  • Serve as a liaison between customers and internal buyer/seller teams to ensure clear communication and follow-up.
  • Support administrative processes related to customer records, event coordination, reporting, scheduling, and office operations.
  • Maintain accurate data entry and ensure reports and administrative tasks are completed on time and accurately.
  • Assist various departments with operational and administrative support as needed.
  • Help maintain a clean, organized, and professional office environment.
  • Monitor and restock office supplies and assist with general office organization.
Qualifications
  • Previous administrative, customer service, office support, or coordination experience preferred.
  • Strong communication and interpersonal skills with a professional and approachable demeanor.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Comfortable handling a high volume of calls and customer interactions.
  • Self-motivated with the ability to take initiative and problem-solve independently.
  • Comfortable learning and utilizing business systems and operational tools, including NetSuite, Google Workspace, and Microsoft Office
  • Ability to work in the office during standard business hours (9 am - 5 pm).
  • Ability to occasionally lift and move boxes or office materials up to 30-40 lbs.
