Responsibilities
  • Provides administrative support through the creation, maintenance, and organization of forms, templates, correspondence, reports, and tracking tools.
  • Coordinates meetings, events, and team activities, including scheduling, logistics, catering arrangements, and distribution of materials.
  • Manages incoming and outgoing mail, courier services, and document distribution.
  • Orders, maintains, and tracks office supplies and equipment to support operational needs.
  • Produces, edits, formats, and maintains a variety of business documents, spreadsheets, presentations, and records.
  • Maintains accurate records, databases, logs, and filing systems, ensuring information is current, organized, and accessible.
  • Supports financial and administrative processes by preparing documentation, maintaining records, and coordinating with internal and external stakeholders.
  • Handles confidential employee, organizational, and operational information with discretion, ensuring records are maintained and archived appropriately.

Qualifications
  • High school diploma.
  • Post-secondary degree or diploma or certificate in related discipline.
  • 3 years of progressive experience in an office administration or related field.
  • Basic accounting and day-to-day banking transaction an asset but not required.
  • Excellent verbal and written communication skills.
  • Professional and service-oriented approach internally and externally.
  • Self-management skills to plan, organize and priority tasks with conflicting deadlines.
  • Ability to act with discretion when handling confidential and privileged information.
  • Ability to effectively handle difficult calls and situations.
  • Ability to remain calm under pressure.
  • Ability to create, edit, proofread and format documents.
  • Intermediate skills of Word, Excel and Adobe.
