We are looking for a detail-oriented Administrative Assistant to support daily office operations for a Contract position based in Pompano Beach, Florida. This role focuses on coordinating documentation, entering billing-related information accurately, and assisting with customer and contractor communication in a fast-paced environment. The ideal candidate is organized, approachable, and comfortable managing paperwork, service requests, and occasional inbound call support while maintaining a high standard of accuracy.
Responsibilities:
• Prepare, organize, and distribute job-related documentation for builders and contractors to ensure all required paperwork is completed on time.
• Enter billing details, service information, and other administrative data into internal records with a strong focus on accuracy.
• Process work orders and track related paperwork to support smooth day-to-day operations.
• Respond to document requests by gathering, completing, and sending the appropriate forms and supporting materials.
• Provide backup phone coverage by answering inbound calls, addressing routine questions, and directing issues to the appropriate team members.
• Communicate with customers and partners to confirm details, clarify missing information, and help resolve administrative concerns.
• Maintain orderly files and office records so documents can be retrieved quickly and efficiently.
