Administrative Assistant

Job Title: Administrative Assistant---Evansville IN 47708 Company: GLOBAL FORCE USA Administrative Assistant---Evansville IN 47708 Contract role---- Open-ended contract Rate: 20/hr Location: One Vectren Square Evansville IN 47708

Work independently and perform a variety of administrative support in a fast-paced environment for the manager, supervisors, and division personnel. Essential functions include:

  • Perform routine office duties to support manager, supervisors, and division personnel. Typing, composing general correspondence, answering multi-line telephone, screening callers and assisting or routing appropriately, filing, sending facsimiles, photocopying, updating manuals, ordering office supplies, and distributing mail.
  • Update records in ORACLE/SAP, including creation and deletion of personnel positions, payment of invoices, processing pay changes/promotions, and creating work schedules.
  • Perform initial review and evaluation, and process requests and payments for new work orders, surveys, third party locates, releases, field notes, and as-built documents.
  • Support legal documents – filing documents in courthouse and FileNet.
  • Interact with other departments on surveying and land related matters where practical and within the limits of knowledge and training.
  • Provide initial customer or property research with regard to surveying and rights-of-way.
  • Perform administrative activities and general correspondence support required to assist manager, supervisors, surveyors, and agents.
  • Schedule/organize arrangements for conferences, presentations, and complete travel arrangements for manager, supervisors, and division personnel.
  • Complete and submit requests for expense reimbursements and OnePay for manager, supervisors, and division personnel.
  • Ensure company resources are used in a cost-effective manner.
  • Maintain personnel and confidential files.
  • Time administrator for division personnel, track vacation and absences for exempt and non-exempt personnel within the department.
  • Initiate, coordinate, and monitor status of assignments delegated to the manager's direct reports.
  • Use Microsoft Office applications in carrying out the above duties.

Education: Requires a high school education or the equivalent knowledge of English, punctuation, grammar, spelling, and basic mathematics (ability to add, subtract, multiply, divide, and calculate fractions and/or percentages). Experience: Requires a minimum of two (2) years of experience in administrative experience requiring multi-task activities, regular exercise of initiative and personal judgment, attention to detail, and use of discretion without immediate supervision. A strong functional ability to use Microsoft Office applications is required. Oracle or SAP experience is a plus.
