Job description

Position Summary
Odyssey is recruiting to fill a Senior Administrative Assistant supporting the ISR/SOF Directorate (AFLCMC/WI), who is responsible for equipping our warfighters to win the fight. The Directorate executes a $22 billion acquisition portfolio developing, producing, testing, modifying, fielding, and supporting Air Force ISR and SOF platforms, and related sub-systems.
Responsibilities
Duties include, but not limited to:
  • Perform administrative support tasks, from receptionist and visitor control tasks to the preparation, coordination, and publication of a wide variety of documents, graphics, presentations, spreadsheets, schedules, and other administrative products.
  • Operate with broad direction to support administrative functions, with focus on administrative processes, procedures, tools, and protocol to perform a robust range of administrative tasks, such as maintaining executive schedules and communication, overseeing the administrative operations of a large office or organization, and coordinating large events requiring substantial discretion and attention to protocol.
  • Maintain appointment calendars, VTC and conference room schedules.
  • Schedule meetings and conferences including those involving staff from outside the immediate office.
  • Answer telephones, forward messages and provide responses to routine queries.
  • Assist in coordinating, consolidating, analyzing, distributing and monitoring action items, suspenses, and responses.
  • Assist in preparing and updating program office file management documents.
  • Prepare agendas, reports, and briefings for staff meetings.
  • Ensure administrative taskers/packages meet or precede their suspense deadlines
  • Draft, edit, and staff both military and civilian appraisals and Awards and Decorations.
  • Perform additional administrative tasks as required in support of customer organization.
  • Have access to and perform administrative duties in ATAAPS and DTS.
  • Develop and improve new or existing organization process guides and processes e.g. the End-of-Day checklists, In-processing, Out-processing, and recall-rosters.
  • Support ad hoc tasks as required.

Qualifications
Citizenship: Must be a US citizen
Minimum Required Qualifications
Clearance: Secret
Education:
  • Master's or Doctorate Degree in a related field and ten years of experience in the respective technical / professional discipline being performed, five years of which must be in the DoD.
  • Bachelor's degree in a related field and 12 years of experience in the respective technical/professional discipline being performed, five of which must be in the DoD.

Technical Skills
  • Ability to coordinate, consolidate, analyze, distribute, and monitor action items, suspenses, and responses while ensuring all administrative taskers/packages meet required deadlines.
  • Skilled in maintaining appointment calendars, VTC and conference room schedules, and coordinating meetings-including those requiring inter-office or external staff participation.
  • Proficient in preparing, updating, and managing program office file documents; drafting and editing appraisals, awards, agendas, reports, and briefings; and ensuring high-accuracy publication of administrative products.
  • Experienced in performing administrative duties within ATAAPS and DTS, including timekeeping and travel processing functions required for DoD administrative operations.
  • Ability to develop and refine organizational process guides such as end-of-day checklists, in-processing/out-processing guides, and recall rosters, supporting continuous improvement of administrative workflows.
