Position Summary
Our client, a well-established Japanese food distributor is seeking a detail-oriented Sales Administration Assistant to support the National Sales team. This role is responsible for processing sales orders, invoices, shipping documentation, and providing administrative support while coordinating with Sales, Accounting, Logistics, Customer Service, and Warehouse teams to ensure efficient business operations.
Essential Duties
  • Process customer sales orders, invoices, shipping documents, pick lists, and Bills of Lading (BOLs).
  • Review and verify sales documentation for accuracy and completeness.
  • Generate and distribute invoices through ERP and EDI systems.
  • Process intercompany orders and maintain related records.
  • Monitor customer credit holds and communicate issues to management.
  • Maintain accurate sales, shipping, and receiving documentation.
  • Provide administrative support for Accounts Payable (A/P) and Accounts Receivable (A/R).
  • Assist with monthly closing activities and accounting documentation.
  • Maintain organized electronic and paper filing systems.
  • Manage office supplies, incoming/outgoing mail, and package distribution.
  • Coordinate with Sales, Accounting, Logistics, Customer Service, and Warehouse teams to ensure timely order fulfillment.
  • Respond professionally to customer, vendor, and internal inquiries.
  • Assist in resolving routine order, shipment, and documentation issues.
  • Support departmental projects and perform other administrative duties as assigned.
Qualifications
  • High school diploma or equivalent required; Associate degree preferred.
  • 1+ year of experience in sales support, customer service, administration, accounting, or office operations preferred.
  • Strong proficiency in Microsoft Office (Excel, Word, Outlook, Teams).
  • Experience with JD Edwards (JDE), EDI, or other ERP systems is a plus.
  • Excellent organizational and time management skills.
  • High attention to detail and accuracy.
  • Strong verbal and written communication skills.
  • Ability to prioritize multiple tasks in a fast-paced environment.
  • Self-motivated with the ability to work both independently and collaboratively.
Preferred Qualifications
  • Experience supporting sales operations or order processing.
