Job description

Sullivan Street Bakery Miami is seeking a highly organized and detail-oriented Customer Service Coordinator to support the daily operations of a fast-paced wholesale bakery. This position is responsible for customer communication, order processing, production reporting, and administrative support.

The ideal candidate is comfortable with computers, highly accurate with numbers and quantities, proficient in Microsoft Outlook, and able to learn order-processing software quickly. This position requires someone who can work independently, follow established procedures, and recognize that accuracy is critical because customer orders directly drive bakery production. Must be available to work Sundays. We are closed on Tuesday and Sunday.


Key Responsibilities

  • Receive and process customer orders accurately and on time.
  • Enter, update, and verify orders using our order-processing software.
  • Prepare, refresh, review, save, and print daily production reports.
  • Verify order quantities and production totals before reports are distributed.
  • Accurately work with products ordered by the each, pack, case, and dozen.
  • Communicate professionally with customers regarding orders, changes, shortages, deliveries, and general questions.
  • Monitor and manage customer communications through Microsoft Outlook.
  • Maintain organized email correspondence and follow up on outstanding customer requests.
  • Coordinate order changes with production, delivery, and management.
  • Maintain accurate customer and order information within company systems.
  • Identify discrepancies or unusual quantities and escalate questions before production.
  • Perform other administrative and customer-service duties as assigned.


Required Skills & Qualifications

  • Strong proficiency with Microsoft Outlook, including email organization, attachments, folders, searching, and professional email communication.
  • Strong general computer skills and ability to learn new software quickly.
  • Previous experience with order-entry, ERP, POS, inventory, CRM, or similar business software strongly preferred.
  • Excellent attention to detail and ability to accurately review numbers and quantities.
  • Comfortable performing basic business math involving products sold by the dozen.
  • Ability to follow multi-step procedures consistently.
  • Strong organizational and time-management skills.
  • Ability to prioritize tasks in a fast-paced environment.
  • Strong written and verbal communication skills in English and Spanish.
  • Dependable, punctual, and able to work independently.


What We're Looking For

Experience in a bakery, food or restaurant environment, wholesale distribution, manufacturing, or order-processing department is a plus, but we are willing to train the right candidate who has strong administrative and computer skills.
