Planon Administrator

Job Description Summary

We are seeking an experienced Planon System Administrator to manage, configure, and support our client's Planon Integrated Workplace Management System (IWMS). This role is responsible for ensuring the stability, performance, and continuous improvement of the Planon platform in support of Project & Space Management operations.

Job Description

Key Responsibilities:

System Administration & Configuration

  • Administer and maintain the Planon IWMS platform, including modules for Project Management & Space & Workplace Management

  • Configure workflows, business rules, forms, dashboards, and reports to meet business requirements

  • Manage user roles, permissions, and security settings

  • Perform any configuration changes in coordination with client and vendors

  • CMMS specialists must be able to communicate with many different types of workers, managers, and procurement staff to schedule workers, order the correct parts, and work within budgets to carry out a maintenance or repair work plan

Support & Operations

  • Serve as the primary point of contact for Planon-related issues and requests for client and it's real estate service providers.

  • Provide tier 2/3 support and troubleshoot system errors, integrations, and performance issues

  • Monitor system health, data integrity, and scheduled jobs

  • Coordinate with Planon support and implementation partners as needed

Data & Integrations

  • Manage master data (locations, space, projects)

  • Support integrations between Planon and other enterprise systems (ERP, HR, Procurement, Business Intelligence, FM, etc.)

  • Perform data imports, exports, and validations

Continuous Improvement

  • Gather requirements from Project Management and Workplace teams

  • Translate business needs into system enhancements and configurations

  • Document system configurations, processes, and standard operating procedures

Testing & Implementation Support

  • Develop and execute test scenarios, test scripts, and UAT plans for Planon enhancements and releases

  • Coordinate and support User Acceptance Testing with business stakeholders

  • Validate configurations and data against documented requirements

  • Support post-implementation stabilization

Training & Governance

  • Train end users, super users, and administrators

  • Promote best practices for system usage and partner with client on data governance strategies

  • Support audit, compliance, and reporting requirements

  • Assist with training materials and end-user documentation

  • Facilitate workshops, demos, and requirement review sessions

  • Support change management efforts, including user communications and adoption strategies

Required Qualifications

  • Bachelor's degree in Information Systems, Facilities Management, or related field (or equivalent experience)

  • 2-5+ years of experience administering or supporting Planon IWMS or other competing corporate real estate solutions

  • Strong understanding of facilities management and/or real estate business processes

  • Experience with system configuration, workflows, and reporting

  • Ability to troubleshoot complex system and data issues

  • Strong communication and stakeholder management skills

Preferred Qualifications

  • Planon certification(s)

  • Experience with SQL, APIs, or integration platforms

  • Experience supporting large, multi-site organizations

  • Familiarity with ITIL or service management processes
