OVERVIEW OF POSITION:
We are seeking a dedicated and professional Office Administrator to join our team. This role is essential in providing excellent customer support and ensuring the smooth operation of our office. The ideal candidate will be organized, detail-oriented, and possess strong communication skills. As the first point of contact for our clients and visitors, you will play a crucial role in creating a positive impression of our organization.
ESSENTIAL JOB FUNCTIONS:
  • Ensure the office is clean, organized, and well-maintained.
  • Coordinate with the Maintenance, Facilities, MIS, and other departments to keep office facilities and equipment running smoothly.
  • Manage office supplies inventory.
  • Greet visitors; assist in hosting and escorting.
  • Assist in scheduling meetings and lunches and coordinating conference rooms.
  • Assist in planning travel.
  • Provide an administrative link between the office and HR.
  • Maintain Outlook calendars and lobby display presentations.
  • Basic administrative tasks including data entry, document preparation, scanning and archiving, and report generation and formatting.
  • Assist in promoting an office environment that encourages creativity, cohesion, dedication, and pride in one's work.

SKILLS โ€ข EXPERIENCE โ€ข EDUCATION:
  • High school diploma or equivalent
  • Proven experience as an office administrator, office assistant, or relevant role.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Discretion with confidential information.
