Field Service Operations Supervisor

Territory: Central and East Region
Company: Interstate Power Systems
Pay Range: $55K-$65K Annually

Position Summary

The Field Service Operations Supervisor is responsible for overseeing service agreements, preventive maintenance programs, customer contracts, technician scheduling, and operational performance. This role serves as a critical link between customers, service advisors, parts personnel, branch leadership, and internal departments to ensure exceptional customer service, efficient workflow management, and profitable service operations.

This position provides regional support across multiple branch locations within the East Region, driving consistency in service execution, operational processes, and customer experience. The Field Service Operations Supervisor will occasionally travel throughout the region to support branches with field service initiatives, strengthen customer relationships, provide coaching and training, and ensure alignment with company service standards and strategic objectives.

The ideal candidate combines strong service operations experience and a customer-focused mindset. This individual will manage preventive maintenance programs, oversee contract administration, and drive operational excellence across the region while building strong partnerships with branch leadership teams and key customers.

Key Responsibilities

Quoting & Contract Management

  • Prepare, manage, and track all Preventive Maintenance (PM) quotations.
  • Create and administer service contracts and agreement renewals.
  • Prepare and respond to Requests for Quotes (RFQs).
  • Coordinate and assist with the implementation of all awarded services and contract agreements.
  • Submit completed contracts, agreements, and supporting documentation to customers in a timely manner.
  • Maintain accurate records of all quotations, contracts, and customer communications.

New Customer Setup

  • Establish all new customer accounts within company systems.
  • Enter and maintain accurate Ship-To and Bill-To information.
  • Process and track customer credit applications.
  • Collect, verify, and maintain required insurance documentation.
  • Ensure proper linkage and alignment between Bill-To and Ship-To accounts.
  • Verify accuracy of customer information to support billing and service operations.

Legal Contract Processing

  • Route all customer contracts requiring legal review through the established Contract Review process.
  • Coordinate with internal stakeholders to obtain required approvals before contract execution.
  • Ensure all contractual documents meet company policies and compliance requirements.
  • Maintain documentation and records related to contract review and approval workflows.

Master Schedule Management

  • Maintain and update the Master Schedule for all monthly Preventive Maintenance services.
  • Track PM services by customer location and equipment/unit.
  • Add new customers, contracts, and service obligations when bids are awarded.
  • Update contract renewals and service schedules as agreements are renewed.
  • Ensure schedule accuracy and alignment with current customer commitments.
  • Review pricing updates and determine when revised contracts must be issued due to significant price changes.
  • Maintain historical service records to support contract planning and customer retention efforts.

Monthly Branch Reviews

  • Conduct monthly meetings with branch personnel to review all proposals generated during the previous month.
  • Monitor proposal activity and follow-up opportunities.
  • Collaborate with branch leadership to ensure proposal status updates are captured accurately.
  • Identify opportunities to convert open proposals into active contracts or service agreements.

Report Analysis & Follow-Up

  • Review monthly reports to identify preventive maintenance services completed outside of contract agreements.
  • Analyze service data for follow-up opportunities and future contract conversations.
  • Add qualifying non-contract PM services to the Master Schedule for future annual follow-up.
  • Maintain accurate records supporting customer service history and contract development opportunities.

Required Qualifications

  • High school diploma or GED required; associate or bachelor's degree preferred.
  • Previous supervisory experience within field service, maintenance, heavy equipment, power generation, trucking, industrial equipment, or related industries.
  • Experience with service operations and managing customer relationships.
  • Experience preparing quotes, contracts, service agreements, or maintenance programs.
  • Strong knowledge of service workflows, repair processes, scheduling, and resource coordination.
  • Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
  • Excellent communication, organizational, and problem-solving skills.

Preferred Qualifications

  • Experience in power generation, industrial engines, heavy-duty truck, construction equipment, or related service industries.
  • Knowledge of preventive maintenance programs and service contract management.
  • Experience with ERP, CRM, dispatching, or service management software.
  • Familiarity with parts inventory management and procurement processes.
  • Understanding of branch operations, technician utilization, labor recovery, and service profitability.
