  • Verify invoices, prepare tenant adjustments, and ensure accurate record-keeping related to property management activities.


Job description

The Property Management Administrator supports the day-to-day operations of our real estate portfolio. They work collaboratively with Property Management, AP/AR teams, and other departments as required. This role is the operational backbone of the property management team: keeping lease files, tenant records, vendor relationships, and other tasks related to our property management needs.


Essential Duties:

  • Promptly respond to tenant emergency and non-emergency issues.
  • Coordinate with vendors and contractors for maintenance, repairs, and property inspections at Property Managerโ€™s direction.
  • Verify invoices submitted by A/R Clerk are coded correctly and route to PM or DPM for final approval.
  • Coordinate utility management for properties by identifying discrepancies and/or initiating transfer of services.
  • Maintain the property tax spreadsheet, and other necessary spreadsheets required for properties within the portfolio.
  • Ensure property tax statements for each entity within the portfolio are received and submitted for payment; obtain payment receipt from treasurer websites.
  • Request tenant COIs and ensure lease specifications are met.
  • Participate in accounts receivable collection efforts.
  • Regularly prepare one-time tenant adjustments and enter them into property management software.
  • Request gross sales reports and ensure accurate records.


Marginal Duties:

  • Enter new tenants into property management software.
  • Work collaboratively with other teams when insurance bonds are required on a project.
  • Track insurance bonds and ensure they are terminated at the end of the required term.
  • Assist in the preparation and billing of annual common area reconciliations.
  • Assist in the preparation of annual budgets and CAM reconciliations.
  • Track tenant financials reporting and keep the master list up to date.


Qualifications:

  • Excellent communication skills for accurate information exchange.
  • Proficiency in basic mathematical operations
  • Exceptional organizational skills to manage multiple projects and meet deadlines.
  • Ability to comprehend complex legal documents.
  • Demonstrated proficiency in utilizing Google Sheets and Google Docs through practical experience.

  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Strong written and verbal communication skills
  • Comfortable interacting with tenants, vendors, and internal teams professionally
  • Experience with Mac iOS is a plus.
  • Valid Driverโ€™s License.
