The Job

The Cash & Admin Associate is responsible for ensuring accurate and timely completion of day-to-day administrative duties within the FAO Schwarz Flagship store. This role will oversee cash processes, change orders, customer service emails, and other administrative tasks that may be required. The Admin Associate should be detail-oriented with the ability to handle sensitive or confidential information.

What You’ll Do

  • Complete opening and closing checklists for administrative tasks, including daily sales sheet and closing recap information.
  • Complete day-to-day cash handling tasks such as opening and closing registers, pulls, deposits, safe counts, and cash pickups.
  • Complete regular change orders from banking partners.
  • Monitor and respond to chargeback requests within prescribed timeframes to avoid unnecessary chargebacks.
  • Provide paychecks to the team as requested and ensure accurate logs.
  • Escalate building or maintenance issues as needed to agreed partners.
  • Ensure all technology is audited regularly and missing items reported.
  • Audit supplies and submit purchase requests as needed.
  • Track daily cash loss and variances, sending weekly reports to senior leadership team for visibility and to identify retraining opportunities.
  • Own the customer service inbox and respond to inquiries in a timely manner, ensuring the guest issue is resolved or escalated as needed.
  • Update noticeboards and internal communication as needed.
  • File and summarize any incident reports on a weekly basis to the senior leadership team.
  • Spend time on the sales floor and demonstrate effective product knowledge by introducing key items to guests based on your understanding of their needs.
  • Handle POS transactions, adhering to policies and procedures to accurately process each transaction for the guest.
  • Identify opportunities to enhance store policies and procedures.
  • Manage your time effectively to ensure key deadlines are met, asking for support when needed.
  • Be available to complete other administrative or ad hoc tasks as required in support of the larger store team.

What You Have

  • 1+ year experience in a fast-paced retail or flagship environment preferred.
  • Excellent communication and Office skills. Ability to create and use simple spreadsheets and forms.
  • Strong organizational ability, ensuring all tasks are completed within agreed timeframes.
  • A love of the FAO brand.
  • Excellent collaboration and interpersonal ability.
  • Flexible availability in line with a flagship retail environment across days, evenings, and weekends.
  • Capable of lifting up to 25 pounds, bending and twisting, and standing for long periods of time.
