 Administrative Support Specialist

Schedule: Monday–Friday, 9:00 AM–5:00 PM
Position Type: Full-Time

Position Overview

We are seeking a reliable, organized, and detail-oriented Administrative Support Specialist to provide administrative and operational support to a financial services team.

This position will work independently with regular communication and direction from team members based in New Jersey. The successful candidate should be comfortable managing responsibilities with limited day-to-day supervision while maintaining strong communication with the team.

Training will be provided on company-specific processes and procedures.

Key Responsibilities
  • Provide general administrative and operational support

  • Prepare, complete, review, and distribute contracts and other business documents according to established procedures

  • Send and respond to business-related emails and documentation requests

  • Perform accurate data entry and maintain records using Google Sheets and other company systems

  • Review documentation for completeness and accuracy

  • Assist with merchant and business information verification in accordance with established company procedures

  • Support the preparation and processing of financial transactions, including wire-related documentation, as directed by authorized team members

  • Follow established approval procedures and escalation requirements for financial transactions

  • Maintain accurate and organized electronic records

  • Communicate professionally with customers and internal team members by phone and email

  • Coordinate closely with the New Jersey-based team regarding pending documents, transactions, and priorities

  • Protect confidential, financial, customer, and company information in accordance with applicable policies and procedures

  • Perform other related administrative duties as assigned

This position provides administrative and processing support and does not have independent or final authority to approve contracts, underwriting decisions, or financial transactions.

Work Environment & Responsiveness

The volume of work may vary throughout the day, and some requests may require prompt attention. The successful candidate must be able to adjust priorities, respond to time-sensitive assignments, and complete tasks accurately within established deadlines.

Qualifications
  • Approximately 1 year of administrative, office, customer service, financial services, or related experience preferred

  • Strong attention to detail and commitment to accuracy

  • Strong written and verbal communication skills

  • Professional phone and email communication skills

  • Ability to organize and prioritize multiple responsibilities

  • Ability to work independently with appropriate supervision and guidance

  • Ability to respond effectively to changing priorities and time-sensitive assignments

  • Basic proficiency with Google Sheets or similar spreadsheet applications

  • Comfortable performing data entry and working with electronic documents

  • Ability to learn new processes, systems, and procedures

  • Ability to appropriately handle confidential and sensitive business information

Previous experience successfully working remotely or in a position requiring independent time management is preferred but not required.


Pay Details: $18.00 to $22.00 per hour
