The Position

The Office Assistant - Part Time performs administrative and office support activities for multiple supervisors. Duties may include fielding telephone calls and emails from customers and vendors, receiving and directing visitors, responding to reviews, data processing contracts and payments, word processing, creating spreadsheets and presentations, and filing. Extensive typing and software skills are required, as well as Internet research abilities and strong communication skills.Experience in QuickBooks is preferred but will train candidates withdemonstrated ability to learn financial software.


Office Assistant Part Time

Wage Range: $18.00 to$ $ based on experience - Possibility of full time for the right candidate.

Part time Hours:25 hour position.5 hours per day 11-4p or negotiated division of hours with the right candidate


Reports to: The Office Assistant - Part Timereports directly to the Customer Service Accounts Manager and / or Owner and indirectly to the Operations Manager and Sales Manager.

Job Duties

ACCOUNTS

  • send customer invoices -- mail/email apply pre-payments as needed.
  • check "delivery status" periodically for invoices that did not deliver correctly.
  • A/R Monitor and assist in notices,18 day watch list
  • input customer payments in QuickBooks and record on the deposit sheet.
  • Enter all bills/expenses/ inventory into QuickBooks
  • Check vendor statements to verify pending or missed invoices.

ESTIMATES

  • Data entry estimates based on the worksheets given by the estimator and sent via mail or email.
  • record sent estimates in pending excel and write on the work board.
  • follow up with customers who have not responded.
  • If accepted, save a copy of the signed estimate to the vault and print the signature page. erase from the pending board and excel. put it in the approved folder.

CUSTOMERS

  • check email & respond to customer.
  • check voicemail and call customer back to let them know we got the message.
  • Answer phones: take messages and answer questions the best you can using templates.
  • record estimate requests in waiting list excel and give requests to phil.

FACILITIES

  • keep track and order supplies with Admin when necessary.
  • organize supply storage areas.
