We are seeking a reliable, organized, and patient-focused Medical Administrative Specialist to join our client's practice. This position plays an important role in helping patients navigate their care while supporting the administrative and financial operations of the practice.
The ideal candidate will have previous experience in a medical office or healthcare administrative setting, excellent communication skills, strong attention to detail, and the ability to manage multiple priorities in a busy environment. This is a patient-facing role that requires frequent phone communication with patients, insurance companies, and other healthcare organizations.
Key Responsibilities
  • Verify patient insurance eligibility, benefits, and coverage prior to appointments and services.
  • Assist with obtaining and processing referrals and authorizations as needed.
  • Communicate with insurance companies, referring providers, and other healthcare organizations regarding patient coverage and referrals.
  • Post and reconcile patient and insurance payments accurately within the practice management system.
  • Answer incoming phone calls and assist patients with questions regarding appointments, referrals, insurance, payments, and other administrative needs.
  • Provide professional, courteous, and compassionate customer service to patients.
  • Follow up on outstanding referrals, insurance issues, and other access-to-care needs.
  • Accurately enter and maintain patient demographic, insurance, referral, and payment information.
  • Assist with identifying and resolving insurance discrepancies or coverage issues.
  • Work closely with clinical and administrative team members to ensure patients have timely access to care.
  • Maintain patient confidentiality and comply with HIPAA and practice policies.
  • Perform other administrative duties as assigned to support the department.

Qualifications
  • Previous experience in a medical office, physician practice, hospital, or other healthcare administrative setting required.
  • Experience with insurance verification and/or referrals preferred.
  • Experience with payment posting or medical billing functions preferred.
  • Strong verbal and written communication skills.
  • Comfortable speaking with patients by phone and providing professional customer service.
