Job description

Reporting to the Director of the Center for Wellness, the Staff Assistant I/Receptionist provides receptionist duties to a busy massage and acupuncture center with courtesy and professionalism. Receives and greets all visitors, provides reception and client service on a walk-in, phone-in, or e-mail basis. Schedules appointments for clients according to established guidelines. May perform other administrative duties such as filing, data entry, and general correspondence as required.

Job-Specific Responsibilities:

  • Greets visitors in a courteous and professional manner.
  • Provides reception and client service on a walk-in, phone in, or email basis.
  • Schedules appointments for clients according to established guidelines.
  • Receives payment by check, credit card, payroll deduction, or term bill from client at the time of appointment booking.
  • Successfully handles routine clerical functions.
  • Answers phone in a timely and courteous manner.
  • Demonstrates flexibility when unexpected changes in assignment occur.
  • Communicates to other staff members/group leader prior to leaving unit for break or lunch periods and prior to leaving for the day in order to ensure appropriate coverage.

Professional / Team Workplace Accountability

  • Performs all personal business away from patients and all work areas.
  • Identifies own learning needs and requests assistance from others when needed.
  • Attends staff meetings and educational offerings required by the department.
  • Plans for time off in advance and according to clinic policy.

  • Cooperates and complies with goals/projects of department.
  • Utilizes time productively.
  • Performs related duties as required.

Compliance

  • Adheres to the expectations and professional responsibilities of the department.

  • Completes and complies with HUHS training requirements including HIPAA Privacy and Security.
  • Reports non-compliance incidents to the supervisor, manager, and/or Compliance Officer.

Qualifications:
Qualifications

Basic Qualifications:

  • High school graduate or equivalent.
  • Minimum of 1 year of professional, customer-service oriented experience.

Additional Qualifications and Skills:

  • College degree.
  • Professional, able to maintain confidentiality, reliable, highly organized, and detail oriented.
  • Ability to effectively and politely communicate with people from various, diverse backgrounds, work well on a team, and multi-task.
  • Ability to work evening and weekend hours required.

Additional Information

Standard Hours/Schedule: 17.5 hours per week

  • Tuesday 2:00pm - 8:00pm
  • Wednesday 2:00pm - 7:30pm
  • Thursday 2:00pm - 8pm
  • Friday-Monday OFF
