Project Support Specialist II

Location: Downers Grove, IL Work Schedule: Onsite | Monday - Friday | 40 hours per week Job Type: Contract (6 Months) with Contract-to-Hire Potential Pay Rate: $23.00 - $28.00/hour

System One is seeking a detail-oriented Project Support Specialist II to support engineering project teams through document control, project coordination, and administrative support. This position plays a key role in maintaining project documentation, ensuring compliance with document control procedures, and supporting communication between clients, vendors, and internal engineering teams.

Responsibilities

  • Manage project documentation throughout its lifecycle, including creation, review, revisions, approvals, version control, and archival.

  • Maintain project document control systems and ensure records comply with company and project requirements.

  • Track project documents and deliverables to help ensure deadlines, quality standards, and project milestones are met.

  • Establish and maintain document control procedures, including file naming conventions, revision control, and document organization.

  • Receive, review, log, distribute, and track engineering documents such as drawings, specifications, RFIs, submittals, transmittals, reports, and correspondence.

  • Verify documents meet company formatting, revision, and quality standards before distribution.

  • Coordinate with clients, vendors, and engineering teams regarding document submissions and schedules.

  • Work within multiple Electronic Document Management Systems (EDMS).

  • Prepare and manage documents using Microsoft Office Suite and Adobe Acrobat.

  • Support project meetings by reserving conference rooms, preparing materials, coordinating refreshments, and assisting with meeting logistics.

  • Provide general administrative support to engineering project teams.

  • Perform other duties as assigned.

Qualifications

  • High School Diploma or GED required.

  • 1-3 years of experience in project support, document control, or a similar administrative role.

  • Strong attention to detail with the ability to prioritize multiple deliverables.

  • Proficiency with Adobe Acrobat and Microsoft Office Suite, including SharePoint, Word, and intermediate Excel skills.

  • Excellent written and verbal communication skills.

  • Strong organizational, planning, and time management abilities.

  • Ability to solve problems, manage priorities, and work independently.

  • Reliable, self-motivated, and able to consistently meet deadlines.

  • Professional attitude with the ability to work effectively in a team environment.

Preferred Qualifications

  • Associate's or Bachelor's degree.

  • 1-3 years of document control or project support experience within an engineering, EPC, or technical environment.

  • Experience using Electronic Document Management Systems (EDMS); Aconex experience is a plus.

  • Understanding of engineering documentation and document control best practices.

  • Experience with file sharing, uploads/downloads, and compressed (ZIP) files.
