Accounts Receivable & Administrative Coordinator
M-Friday 7am-3:30pm 
Morris Illinois 
Position Overview
Express Employment is  seeking a highly organized and detail-oriented Accounts Receivable & Administrative Coordinator for a company in Morris. This position plays a critical role in supporting customer account management, order processing, billing activities, and daily office operations. The ideal candidate is proactive, accurate, customer-focused, and thrives in a fast-paced environment where no two days are the same.
Key ResponsibilitiesAccounts Receivable & Customer Account Management
  • Manage accounts receivable processes, including posting and processing payments received via checks, credit cards, ACH transactions, and wire transfers.
  • Generate and distribute monthly customer statements.
  • Perform month-end accounts receivable close activities and reporting.
  • Process customer returns, credits, and refunds while coordinating approval workflows as needed.
  • Process and finalize new customer credit applications.
  • Maintain organized digital and physical AR records and documentation.
Order Processing & Administrative Support
  • Process water-soluble product orders, including:
    • New customer setup
    • Production packet preparation
    • Invoicing
    • Payment processing
  • Coordinate water and fertilizer sample testing with QAL and review associated charges for accuracy.
  • Manage Certificates of Insurance (COIs) and proactively track renewal and expiration dates.
  • Process W-9 requests and support vendor billing activities, including transportation vendor invoices.
Office & Front Desk Operations
  • Serve as the primary point of contact for incoming calls, visitors, deliveries, and customer pickups.
  • Manage incoming and outgoing mail and general office correspondence.
  • Provide administrative support to ensure efficient day-to-day office operations.
  • Assist with additional administrative and accounting tasks as assigned.
QualificationsRequired
  • 2+ years of experience in Accounts Receivable, Accounting Support, Administrative Coordination, or a related role.
  • MUST HAVE Experience working with SAP or another ERP system.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Professional communication and customer service skills.
  • Proficiency in Microsoft Office, including Excel, Outlook, and Word.
Preferred
  • Experience with NetSuite ERP.
  • Previous experience supporting both accounting and administrative functions.
  • Familiarity with invoicing, customer account management, and credit processing.
