What does an accounts payable professional do?

An Accounts Payable Professional is responsible for managing a company’s outgoing financial obligations. They process invoices, verify and reconcile bills, ensure timely payments to vendors and suppliers, and maintain accurate records of all transactions. Their role is crucial for maintaining good relationships with vendors and for the overall financial health of the organization. They also work closely with other accounting and finance staff to resolve discrepancies and support audits.

What are some common challenges faced by accounts payable professionals, and how can they be managed effectively?

Accounts Payable Professionals often encounter challenges such as managing high volumes of invoices, maintaining accuracy under tight deadlines, and resolving discrepancies with vendors. To manage these effectively, it's important to develop strong organizational skills, leverage automation tools where possible, and maintain open communication with both internal departments and external suppliers. Job description

Cypress Homes, Inc. -- Appleton, WI

Receptionist/Assistant Bookkeeper

We build more than homes; we build trust. If you're the kind of person who enjoys helping people, keeping an office organized, and making sure important financial and administrative details are handled correctly, this is a great opportunity to become an essential part of a residential construction team.

You'll be the welcoming face and voice of Cypress Homes while providing dependable administrative and bookkeeping support throughout the company. This role is ideal for someone personable, accurate, organized, and equally comfortable assisting a visitor, coordinating a meeting, entering an invoice, or tracking down a missing receipt.

Key Responsibilities
Reception and Administrative Support
  • Greet and assist visitors in a friendly and professional manner
  • Answer, screen, and direct incoming telephone calls
  • Manage incoming and outgoing mail, deliveries, and packages
  • Maintain a clean, organized, and welcoming front office and design area
  • Coordinate appointments and meetings and assist with calendar maintenance
  • Copy, bind, and distribute project contracts
  • Create project files and maintain blueprint and document-storage areas
  • Keep office supplies stocked and organized
  • Assist departments with mailing, research, scanning, copying, filing, and other administrative projects
  • Provide occasional executive or personal-assistant support, such as research and coordination of small projects
Bookkeeping and Accounting Support
  • Enter project bills, recurring operational bills, and credit-card charges
  • Match receipts to credit-card statements and research discrepancies
  • Assist with vendor-statement reviews and research aging balances
  • Prepare project draws and update project cost breakdowns for review
  • Reconcile, scan, label, attach, and file paid draw documentation
  • Create and update vendor and customer profiles
  • Enter approved project change orders
  • Gather, organize, verify, and prepare completed job files for storage
  • Collect and maintain vendor certificates of insurance
  • Maintain drafting-agreement, billing, and builders' risk insurance logs
  • Follow up with staff regarding missing documentation
  • Assist with preparation for insurance audits
  • Support sister companies with accounts receivable, accounts payable, bank reconciliations, and client or vendor communication
Qualifications
  • Friendly, professional, and comfortable serving as the first point of contact for visitors and callers
  • Strong organizational and multitasking skills
  • Careful attention to detail and accuracy when handling financial information
  • Strong written and verbal communication skills
  • Comfortable following established processes and maintaining organized records
  • Proficiency with Microsoft Office
  • Bookkeeping, accounting support, or QuickBooks experience is helpful but not required
  • Experience with accounts payable, accounts receivable, reconciliations, or construction accounting is a plus
  • High school diploma required
  • One to three years of administrative, receptionist, bookkeeping, or office-support experience preferred
  • Positive, dependable, team-focused attitude and willingness to learn
Why You'll Love It
  • Meaningful role: Become a central resource for visitors, vendors, clients, and internal team members
  • Skill development: Gain exposure to construction administration, bookkeeping, insurance documentation, and project accounting
  • Variety: Combine people-facing work with detailed administrative and financial responsibilities
  • Paid holidays and generous PTO
  • 401(k) with company match
  • Health, dental, and vision insurance options
  • Company-paid life, short-term disability, long-term disability, and AD&D insurance
  • Supportive, collaborative, and high-energy work environment
  • Opportunities for professional growth and expanded responsibilities
Anticipated Fall Start

Pay Range: $15.00 to $17.00 per hour, depending on experience

This position may be structured as a full-time role or as a job-share arrangement. Candidates interested in job sharing must be able to commit to a consistent, dependable weekly schedule that provides reliable front-office coverage.

If you're personable, precise, and take pride in keeping both people and paperwork moving in the right direction, we want you on the Cypress team.
