Job description

We are seeking a professional who is adaptable, proactive, and comfortable working within a dynamic environment. The successful candidate will embrace an evolving role, contribute to the firm's ongoing success, and help shape the position as responsibilities grow to meet the needs of the organization.

Position Summary

We are seeking an experienced and motivated professional to oversee and manage the firm's daily financial operations, office administration, and supervision of the Administrative team, while performing other related responsibilities as needed. This key leadership position is responsible for ensuring the accuracy, integrity, and efficiency of the firm's financial and accounting systems while supporting the company's long-term strategic and financial objectives.

The successful candidate will provide leadership to the accounting function, collaborate closely with the CFO and senior management team, and play a critical role in strengthening financial performance, supporting organizational growth, and maintaining a sound fiscal foundation for the firm. This individual will also work closely with our third-party accounting firm, in-house administrative staff, and employees across the organization to ensure efficient, accurate, and cohesive day-to-day operations.

Success in this role requires strong leadership, sound financial judgment, exceptional organizational skills, and the ability to effectively manage multiple priorities in a collaborative, fast-paced environment.


Key Responsibilities

  • Oversee all company financial operations, including general ledger, billing, accounts payable/receivable, and payroll.
  • Maintain and improve accounting systems, policies, and procedures to ensure accuracy and compliance.
  • Prepare and analyze financial statements, forecasts, and management reports.
  • Manage cash flow, monitor balances, and develop cash flow forecasts.
  • Coordinate banking, insurance, and financing activities.
  • Oversee and ensure compliance with federal and state tax requirements, including payroll and income taxes.
  • Develop and manage annual budgets in collaboration with leadership and department heads.
  • Support technology and database management systems within the accounting function.
  • Lead, mentor, and develop Accounting and Administrative staff to ensure high performance and professional growth.
  • Partner with company leadership on strategic initiatives and other special projects as needed.

Qualifications

  • Bachelor’s degree in Accounting, Finance, or related field.
  • 7+ years of progressive accounting experience, including supervisory or management responsibilities.
  • Experience in professional services or design-related industries preferred.
  • Proficient in Quick Books.
  • Hands-on experience with billing, A/R, A/P, and payroll functions.
  • Familiarity with BQE Project Management software is a plus.
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent communication and leadership abilities.
