Advancement Coordinator, Sponsorship

Job Summary/Basic Function:

The University's colleges and units require a specialized and hands-on approach to advancement and alumni activities. This position will be a member of the Foundation team, reporting to the Director of Sponsorship, and will work to advance the priorities of the individual unit and its leader(s). This position will serve as the development team's main point of contact for the efforts to advance a wide-range of fundraising and alumni relations initiatives. This position is collaborative on sponsorships and fulfillment support, coordinating closely with Foundation staff, and faculty and staff. 

Department Overview:

A nonprofit Idaho organization, the Boise State University Foundation was established in 1964 for the benefit of Boise State University. We work to secure philanthropic support for the university by developing and nurturing relationships with our alumni and friends and stewarding gifts made to support Boise State. The Foundation works closely with university leadership, the Boise State University Alumni Association, and the Bronco Athletic Association.

Level Scope:

Fully competent and productive professional contributor who applies acquired job skills, policies, and procedures to complete substantive assignments/projects/tasks of moderate scope and complexity. Works independently with general supervision; exercises judgment within defined guidelines and practices to determine appropriate action. May provide guidance and assistance to entry level professionals and/or support employees.

Essential Functions:

80% of the time the Advancement Coordinator, Sponsorship must:

  • Serve as a fulfilment liaison between the unit-based development team and rest of the Foundation staff. Including but not limited to: the alumni/donor relations team, the other unit-based teams, centralized development team members, advancement services, Foundation accounting, etc.
  • Coordinate with the alumni relations staff to ensure timely and effective implementation of contracted deliverables.
  • Assist Director of Sponsorship with contract drafting, prospect identification and valuation assessments.
  • Run reports, prepare briefings, and light research support for Sponsorship efforts.
  • Assist in the planning and execution of event details including but not limited to: venue, invitations, catering, volunteer management, name tags, signage, printing, etc. in coordination with unit based and Foundation engagement teams/strategy.
  • Manage RSVPs and engagement tracking for sponsorship and partner hosting related events.
  • Assist in composing pre- and post-event correspondence.
  • Management of special projects as determined by Director of Sponsorship.
  • Create and coordinate content for sponsorship or partnership-based communication, such as developing content for partnership announcements, invitations, newsletters, emails, event protocol outlines and social media. Assist with proofing internal and external communication and marketing collateral. Working in collaboration with centralized Foundation Communications and Office of Communication and Marketing.
  • Manage budgets based on cost/revenue analysis; coordinate reservations, track invoices and payment processing.
  • Manage Sponsorships in Trak in collaboration with Marketing and Communications, unit leads and external partners.

15% of the time the Advancement Coordinator, Sponsorship must:

  • Serves as primary liaison between the unit-based development team and the sponsorship team on shared events and other partner cultivation and stewardship efforts including prospecting and valuation reports.
  • Serves as primary liaison between the Sponsorship team and the donor database team to ensure compliance with Query usage and reports, data entry policies, and to obtain the lists needed for college-specific sponsor activities.

5% of the time the Advancement Coordinator, Sponsorship must:

  • Perform other duties as assigned.

Knowledge, Skills, Abilities:

  • Experience and ability to use and develop electronic communication with alumni and donors.
  • Ability to think through complicated processes and have exceptional problem-solving skills.
  • This position is expected to have a high level of communication skills and the ability to work effectively with internal and external partners, through both oral and written communication.
  • Strong organizational and interpersonal skills.
  • Ability to prioritize a large workload.
  • Must be able to handle confidential material responsibly and interact professionally with a wide spectrum of individuals.
  • Event planning experience.
  • Experience with quantitative and qualitative data collection and assessment. 

Minimum Qualifications:

Bachelor's Degree and 2 years experience or equivalent.

Salary and Benefits:

Salary range is $50,065.60 to $60,465.60 annually and is commensurate with experience. Boise State University provides a best-in-class benefits package, including (but not limited to):

  • 12 paid holidays AND the University is closed between Christmas and New Year's (requires use of 3 vacation days)
  • Between 12-24 annual paid vacation days for full-time Professional and Classified staff depending on position type and years of service
