Overview:

The Vendor Management Assistant is responsible for implementing the requirements of the Bank’s vendor management program with particular focus on coordinating activities between stakeholders. In addition, this role codes IT invoices for payment and tracks budgets.  Responsibilities also include assisting IT Project Manager with project management activities. 

Essential Functions:

  • Implements the requirement of the Vendor Management Policy and Procedures. Coordinates the completion of related task between ISO, Relationship Manager (RM) and other stakeholders as needed.  
  • Collects and tracks vendor and contract information.
  • Codes IT invoices for payment. Tracks payments to invoices and investigated discrepancies.
  • Tracks IT Division and individual project budgets.
  • Records and tracks hardware and software purchases.
  • Assists Security Operations to meet segregation of duties responsibilities by reviewing select reports for exceptions.
  • Performs other duties as assigned.
  • Follows Bank and IT Division policies and procedures as applicable.
  • Other duties/special projects as assigned.

 

Qualifications

  • Understanding of basic vendor management principles in a regulated industry.
  • Understanding of basic accounting principles
  • 2 years of experience in a related or complimentary role
  • Certified Regulatory Vendor Program Manager (CRVPM) Level I certificate preferred
  • Experience in a vendor management role within a regulated industry preferred
  • Experience in an accounting role preferred
  • Associate of Arts Degree preferred
  • Ability to assist with multiple job responsibilities simultaneously
  • Strong aptitude for numbers and attention to detail
  • Ability to work effectively with individuals at all levels, internal and external to the organization
  • Excellent oral and written communication skills
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Strong organizational skills with an objective-oriented mindset
  • Ability to prioritize tasks and meet deadlines
