Job description

Summary of Department and Division/Unit

The USC Physician Assistant Program, within the Keck School of Medicine of USC, prepares future physician assistants through excellence in education, research, clinical practice, and community service. The program supports students, faculty, and staff through effective administrative and financial operations that promote compliance, accountability, and operational excellence.
The Accounting Technician reports to the Director of Operations and provides accounting and financial support for the Physician Assistant Program. The incumbent performs a variety of accounting functions including processing financial transactions, reconciling accounts, monitoring budgets, preparing financial documentation, maintaining accounting records, and ensuring compliance with university policies and procedures. This position works collaboratively with faculty, staff, students, university departments, and external partners to support the program's financial operations.
The successful candidate is proactive, resourceful, detail-oriented, and committed to delivering exceptional customer service. The position requires strong organizational, analytical, and communication skills, the ability to manage multiple priorities, and sound judgment when handling confidential financial information.

Essential Job Duties

  • Establish and maintain departmental accounts, ledgers, financial records, and supporting documentation.

  • Prepare and process accounting documents including purchase requests, journal entries, expense transfers, budget amendments, and other financial transactions.

  • Enter financial data into university accounting systems and review documentation for completeness and accuracy.

  • Reconcile departmental accounts, investigate discrepancies, and prepare financial reports.

  • Monitor departmental budgets, expenditures, fund balances, receivables, and outstanding transactions.

  • Assist with month-end and year-end close activities and maintain documentation for audit purposes.

  • Provide financial information and technical support to faculty, staff, students, and university departments.

  • Ensure compliance with USC policies, accounting standards, and applicable regulations.

  • Utilize accounting software, databases, and Microsoft Excel to prepare reports and maintain records.

  • May provide project-based guidance to employees performing similar work.

  • Perform other duties as assigned.

Required Qualifications

  • Associate's degree in Accounting, Business Administration, Finance, or a related field; combined education and experience may be substituted where appropriate.

  • One to two years of bookkeeping, accounting, or financial operations experience.

  • Knowledge of accounting principles, bookkeeping practices, and financial recordkeeping.

  • Experience using accounting software, financial systems, databases, and Microsoft Excel.

  • Excellent analytical, organizational, problem-solving, written, and verbal communication skills.

  • Ability to maintain confidentiality, manage multiple priorities, and work effectively both independently and collaboratively.

Preferred Qualifications

  • University or higher education accounting experience.

  • Experience with USC financial systems and accounting procedures.

  • Experience supporting budgeting, reconciliations, and financial reporting.

  • Advanced Microsoft Excel skills.

  • Strong customer service orientation and ability to build collaborative relationships.

  • Sound judgment, integrity, adaptability, and a team-oriented approach.

This position is hybrid. The employee must report to the USC Health Sciences Alhambra in Alhambra, California, as scheduled. Work hours and on-site days may change based on business needs.
The hourly rate range for this position is $26.14 - $29.05.
