Job Summary:

The Accounting Clerk I processes accounts payable and receivable transactions, maintains accurate financial records, resolves discrepancies, and provides general office support.

Pay Range: $17.00 - $22.00

Supervisory Responsibilities:

None

Duties/Responsibilities:

Accounts Payable

  • Process invoices, issue payments, and maintain accurate records.
  • Verify invoice coding and expense allocations.
  • Reconcile accounts payable, prepaid expenses, credit card transactions, and related accounts.
  • Research and resolve discrepancies.
  • Respond to vendor, client, and employee inquiries.
  • Records entry of, verifies documentation for, and distributes petty cash.

Accounts Receivable

  • Record cash receipts, post transactions, and prepare bank deposits.
  • Monitor outstanding invoices and follow up on overdue payments.
  • Review and communicate payment shortages or discrepancies.
  • Resolve billing disputes with clients and internal stakeholders.
  • Assists with accounting records and ledgers by reconciling transactions.
  • Process approved refunds and credits.

Office Administration

  • Maintain the conference room, workroom, and shared office areas.
  • Monitor and order office and break room supplies.
  • Receive and distribute incoming mail and deliveries.
  • Process outgoing mail and maintain postage levels.
  • Submit work orders and coordinate office and equipment repairs.
  • Schedule and oversee onsite vendors, including copier, printer, and phone service providers.
  • Answer the main office phone and monitor voicemail.
  • Assists with answering phone calls and customers at the counter when necessary.
  • Support additional accounting and finance functions as needed.
