Accounting Specialist

Position Summary

The Accounting Specialist provides confidential and efficient clerical functions in support of the Controller and excellent financial stewardship responsibilities for four companies. The specialist is responsible for the day-to-day transactional and bookkeeping work including but not limited to coordinating vendor payables, leading payroll processing within ADP software platform, and reconciling monthly credit card statements. The ideal candidate is a highly organized, discreet, and resourceful professional with a strong acumen in recording accounts payable and receivable, processing invoices and payments, reconciling bank statements, and posting journal entries.


Essential Duties and Responsibilities
  • Enter and code vendor invoices; match invoices to purchase orders and other supporting documentation
  • Lead bi-weekly payroll processing through ADP for Controller approval
  • Reconcile and balance monthly Original Equipment Manufacturer (OEM) statements in accordance with dealership accounting practices, cross-referencing parts packing slips with invoices, rebates, credits, and interest charges; identify discrepancies and follow up to resolve them.
  • Maintain vendor records, reconcile vendor statements and AP aging, and resolve discrepancies
  • Prepare vendor payment runs for Controller approval
  • Perform centralized credit-card reconciliations, maintain supporting receipts and coding documentation, and proactively identify discrepancies
  • Assist with Accounts Payable month-end close, account reconciliations, and other accounting needs
  • Record and reconcile daily revenue for the campground and off-road rental machine companies
  • Record revenue for detailed accounting in QuickBooks Desktop and QuickBooks Online 
  • Maintain accurate and organized accounting records per company protocols
  • Communicate with vendors and other departments to resolve questions and discrepancies
  • Prepare reports/summaries for Controller as needed
  • All other duties deemed necessary to perform this role with excellence in support of the accounting department.

Qualifications: Skills, Abilities, and Knowledge

Required Skills and Abilities

  • Advanced proficiency in data entry and spreadsheet programs (especially Excel and Google Sheets).
  • Proficiency in Google Workspace and Proficiency in ADP software desired.
  • Sound judgment and discretion in handling confidential business, finance, and personnel information.
  • Excellent time-management skills and meticulous diligence and accuracy.
  • Strong critical thinking skills and the ability to anticipate needs and act proactively without close supervision.

Required Knowledge

  • Working knowledge of bookkeeping principles and terminology (debits/credits, ledgers, the general accounting cycle), and enough grasp of accounting standards to identify errors or discrepancies.
  • Understanding of standard office management and administrative procedures, including records management and electronic filing systems.
  • Familiarity with basic budgeting, expense reporting, and purchasing processes.
  • Knowledge of professional business etiquette and protocol for interacting with employees, external partners, and vendors.
  • Adherence to confidentiality standards and applicable data privacy practices in a business environment.

Education and Experience

  • Associate’s degree in accounting or related field; equivalent professional experience will be considered in lieu of a degree.
  • Minimum of 3 years of experience in an accounting role with accounting specialist or higher responsibilities, preferably within a mid-size company.
  • Experience with ADP accounting module, QuickBooks Desktop and QuickBooks Online preferred.
  • Experience working in the automotive industry, particularly a dealership, is considered a plus.

Physical and Work Environment

This position requires an in-office presence and is not remote, primarily performed in a standard office environment. The role may occasionally require extended hours to support time-sensitive business needs.
