Description
POSITION SUMMARY: Performs various accounting functions in the Business Office. Those duties include maintenance of grant financial records, client grant related data, and other clerical duties specific to the position.
REQUIRED SKILLS/ABILITIES: Possesses superior organizational, oral and written communication skills. Must demonstrate a high level of familiarity with Microsoft Office specifically MS-Excel, including the use of formulas and pivot tables.
PHYSICAL AND ENVIRONMENTAL DEMANDS: Visual acuity necessary for computer work and administration of all paperwork. Requires minimal stooping and crouching to access files. Hearing and speaking necessary for phone conversations with clients, employees and other individuals. There are long periods of sitting. Manual dexterity is required to perform keyboard and calculator functions and other related duties.
SPECIFIC FUNCTIONS/TASKS/RESPONSIBILIITES:
1. Ensure timely completion of staff required activities, including timesheets and training courses, in accordance with company policies, any grant or contract requirements, and state and federal laws.
2. Reconcile all bank and general ledger accounts monthly.
3. Complete monthly bank registers for all locations.
4. Prepare and code Administration office deposits.
5. Provide backup coverage for Accounts Payable and Industries Payroll.
6. Reconcile deposits to Credible monthly.
7. Assist in completion of quarterly grant reports.
8. Complete annual census reports.
9. Complete invoicing to outside agencies, including Industries monthly contract billing.
10. Build custom reports within accounting software to meet internal and external agency needs and increase efficiency in reporting.
11. Oversee the completion of monthly, quarterly, and annual payroll reporting.
12. Assist with the monthly closing process of General Ledger.
13. Assist in completing the annual budget.
14. Assist with completion of annual audits.
15. Receive and disseminate calls and prepares for review correspondence relative to the department.
16. Participate in agency continuing quality improvements (CQI) activities.
17. Performs other duties as assigned.
QUALIFICATIONS: Associate degree or two years' experience in Finance in a community mental health organization. Good computer and calculator skills (10-key by touch). Experience with Microsoft Dynamics preferred.
