Job Purpose

The Office Assistant / Administrative Assistant performs routine clerical and administrative duties in an office environment. This role prepares, files, and maintains records and documents; enters and verifies information; responds to internal and external requests; and assists with general office tasks such as copying, mailing, ordering supplies, and supporting office communication. The ideal candidate is organized, professional, dependable, and comfortable handling confidential information with discretion.

Essential Responsibilities
  • Perform routine clerical and administrative tasks to support daily office operations.
  • Prepare, organize, file, and maintain physical and electronic records, forms, and documents.
  • Enter, update, and verify information in company databases, tracking systems, spreadsheets, or other business systems.
  • Compile information, complete basic calculations, and check records for accuracy and completeness.
  • Answer phones, respond to emails, greet visitors, and direct requests to the appropriate person or department.
  • Retrieve documents, provide information, and assist internal and external customers in a professional and timely manner.
  • Sort and distribute mail, prepare outgoing mail, copy documents, scan files, and assist with general office correspondence.
  • Monitor office supplies and notify the appropriate person when items need to be reordered.
  • Assist with scheduling meetings, preparing materials, and supporting office events or employee activities as needed.
  • Maintain confidentiality of employee, customer, vendor, and company information.
  • Work cooperatively with supervisors, coworkers, vendors, and visitors while representing Commonwealth Cooperage and ISC in a professional manner.
  • Support safety, quality, and compliance expectations by following company policies and procedures.
  • Perform other duties as assigned.
Qualifications
  • High school diploma or equivalent required.
  • Previous office, administrative, clerical, customer service, accounting, payroll, or HR support experience preferred.
  • Basic computer skills and ability to learn company systems and procedures.
  • Proficiency with Microsoft Office programs such as Outlook, Word, and Excel preferred.
  • Strong attention to detail and ability to maintain accurate records.
  • Good verbal and written communication skills.
  • Ability to organize work, manage multiple priorities, and complete tasks in a timely manner.
  • Professional, dependable, and able to maintain confidentiality.
  • Ability to work independently while also contributing to a team environment.
  • Experience with UKG, Paycor, Microsoft Dynamics GP, or similar business systems is a plus.
Work Environment and Physical Requirements
  • Work is generally performed in an office environment with regular use of a computer, phone, copier, scanner, and other standard office equipment.
  • May occasionally enter production or shop floor areas and must follow all posted safety requirements and company procedures.
  • Must be able to sit, stand, walk, communicate, read, type, and use hands and fingers for routine office tasks.
  • Must be able to lift, carry, or move office supplies and materials as needed, typically up to 15 pounds.

Pay
