Accounting Supervisor

The Position

The Accounting Supervisor leads the day-to-day accounting and purchasing operations of the organization, ensuring accurate financial records, timely closings, strong internal controls, and compliance with applicable accounting standards and Puerto Rico regulatory requirements. The position supervises the accounting and purchasing staff and works closely with the Director of Finance on financial reporting, audit, and process improvement initiatives. This role focuses on review, oversight, and team leadership rather than routine transaction processing.

Responsibilities


    • Supervise, train, and develop the accounting and purchasing staff
    • Supervise daily accounting operations — general ledger, accounts receivable, and accounts payable — and ensure timely and accurate monthly, quarterly, and year-end closings.
    • Review and approve journal entries, reconciliations, and supporting schedules prepared by the accounting staff, investigating and resolving variances.
    • Oversee the preparation of internal financial statements in compliance with GAAP, including the reconciliation of intercompany accounts between affiliated entities.
    • Review budget reports and assist management with budget monitoring.
    • Supervise the purchasing function, ensuring that requisitions and purchase orders are properly authorized, documented, and recorded.
    • Monitor vendor information, pricing, and payment terms, and support the Director of Finance in vendor negotiations and cost-saving initiatives.
    • Assign and prioritize workloads to meet closing, reporting, and payment deadlines.
    • Participate in recruitment, conduct performance evaluations, provide ongoing feedback, and enforce company policies and performance standards.
    • Maintain and monitor internal controls over accounting and purchasing processes, and ensure compliance with company policies, GAAP, and applicable Puerto Rico regulations.
    • Support internal and external audits and prepare requested documentation.
    • Coordinate and support the preparation of corporate tax filings in collaboration with external advisors and the Director of Finance.
    • Recommend and implement improvements to accounting and purchasing processes and procedures, and escalate complex accounting or compliance matters to the Director of Finance.


The Accounting Supervisor is also expected to report any violation of company policies, including but not limited to integrity, conduct, safety, or compliance; attend meetings, training, and activities notified by the company; report any situation that may affect the fulfillment of their duties; and perform other related duties as assigned.

Required

  • B.S. in Accounting or Finance.
  • 2-5 years of progressive accounting experience, including experience leading, reviewing, or coordinating the work of others.
  • Strong knowledge of GAAP and the preparation of financial statements.
  • Proficiency in Microsoft Excel (VLOOKUP/XLOOKUP, pivot tables, charts, and advanced formulas).
  • Proficiency in QuickBooks or comparable accounting software.
  • Experience with Puerto Rico tax and regulatory requirements, including the Departamento de Hacienda SURI platform.
  • Fully bilingual (English/Spanish), written and verbal.
  • Strong leadership, analytical, and problem-solving skills, with high ethical standards and attention to detail.

Preferred (not required)

  • Experience in a multi-entity environment, including intercompany transactions.
  • Working knowledge of the accounts payable and purchasing cycle (requisition, purchase order, receiving, and invoice matching).
  • Experience supervising remote team members.
  • Experience in healthcare, clinical laboratory, or another regulated industry.
  • Experience with QuickBooks Desktop Enterprise or an ERP/purchasing platform.
