Job description

We are seeking an experienced Manager, Billing Department to lead billing operations and drive greater standardization, accuracy, efficiency, and control across a decentralized, multi-site organization.

This is a hands-on leadership position that partners closely with the Controller, FP&A, Operations, and Billing teams to ensure billing processes are consistent, well-documented, effectively executed, and aligned with organizational objectives.

Success in this role will be measured by improvements in unbilled balances, aged unbilled accounts, and aged accounts receivable (AR), along with the consistent application of standardized and well-controlled billing processes across the organization.

Essential Functions

Process Standardization, Improvement & Documentation

Drive standardization, continuous improvement, and documentation of billing processes, procedures, and workflows across a decentralized, multi-site environment.

Develop, maintain, and deliver onboarding and training programs for billing staff to promote consistent execution of standardized processes.

Partner with teams across multiple locations to identify, evaluate, and implement billing best practices and process improvements.

Build and maintain a centralized library of billing policies, procedures, processes, and job aids.

Accounting & Month-End Close

Own and execute monthly accounting entries related to billing, including revenue accruals and other billing-related journal entries.

Partner with the Controller and Accounting team to support an accurate and timely month-end close.

Reconcile billing-related balance sheet accounts and resolve discrepancies in a timely manner.

Ensure billing entries comply with GAAP and applicable revenue recognition policies.

Performance & Productivity Management

Establish, measure, and manage performance and productivity targets across billing operations, including unbilled balances, aged unbilled accounts, and aged AR.

Analyze trends and variances, identify root causes, and develop corrective action plans in partnership with appropriate teams.

Develop and maintain dashboards and scorecards to communicate billing performance, productivity, and key trends to leadership.

Identify opportunities to improve billing efficiency, accuracy, and cycle times.

Issue Resolution

Proactively identify, investigate, and resolve systemic billing issues before they escalate.

Serve as an escalation point for complex, high-dollar, or cross-functional billing matters.

Partner with Operations, Continuous Improvement, IT, Accounting, and other functions to identify root causes and implement sustainable solutions.

Ensure billing issues are appropriately documented, communicated, and resolved.

Stakeholder Communication & Leadership

Lead communication regarding billing performance, initiatives, risks, and issues with functional, cross-functional, and executive stakeholders.

Prepare and present billing updates, KPIs, trends, and improvement initiatives to senior leadership.

Build strong working relationships with Operations and Finance leaders to align billing priorities with broader business objectives.

Lead, mentor, coach, and develop billing department staff.

Foster a culture of accountability, accuracy, collaboration, and continuous improvement.

Controls & Compliance

Maintain a strong internal control and compliance environment across billing processes.

Ensure billing practices comply with organizational policies, contractual terms, and applicable regulatory requirements.

Support internal and external audit requests related to billing and accounts receivable.

Identify potential control gaps and partner with appropriate stakeholders to implement corrective measures.

Travel

Travel to office and operational locations as required to support training, process standardization, team development, and issue resolution.

Qualifications & Specialized Knowledge

Proven track record leading billing, accounts receivable, or related accounting operations, ideally across multiple locations or business units.

Strong knowledge of billing processes, revenue recognition, and accounts receivable management.

Demonstrated ability to standardize, document, and improve processes.

Experience designing and delivering effective training and onboarding programs.

Strong analytical and problem-solving skills with the ability to identify trends, determine root causes, and drive corrective action.

Confident communicator who is comfortable presenting to and influencing executive and cross-functional stakeholders.

Demonstrated leadership experience managing, coaching, and developing employees.

Advanced Microsoft Excel skills required.

Experience with ERP systems, billing platforms, reporting tools, and/or dashboard applications.

Strong organizational and time-management skills with the ability to manage multiple priorities and deadlines in a fast-paced, multi-site environment.

High degree of integrity with a strong commitment to internal controls, compliance, and data accuracy.

Education & Experience

Bachelor's degree in Accounting, Finance, Business, or a related field preferred but not required.

7+ years of progressive experience in billing, accounts receivable, accounting operations, or a related discipline.

3+ years of supervisory or management experience.

Experience working within a multi-site or multi-entity organization preferred.

Experience within construction, utilities, infrastructure, energy services, or a related industry is a plus.
