Summary:
The Accounting Assistant/Receptionist plays a key role in maintaining office operations at the dealership by assisting in various accounting tasks, such as processing deals, conducting account reviews, and taking care of our customers when they call or come into the dealership.
Essential Duties and Responsibilities:
  • Keep a complete and accurate file of Sales & Use Tax Exemption Certificates, coordinating with customers/vendors to obtain necessary documentation.
  • Review and process new Business/Vendor credit applications.
  • Audit parts tickets and service repair orders daily for accuracy, ensuring proper GL postings and verifying policy items with Managers.
  • Process wholesales, dealer trades, and retail deals daily.
  • Review and organize retail deals, scanning, uploading, and sending paperwork to banks as needed.
  • Prepare payoff checks for trade-ins and create deal jackets.
  • Stock new and used vehicles into the DMS.
  • Review and reconcile various schedules.
  • Support month-end and sales tax reconciliations.
  • Remit all vehicle warranties and other sold vehicle products, tracking processed contracts and verifying accuracy against the General Ledger.
  • Ensure accurate and timely processing of new and used vehicle registrations via Dealertrack Title & Registration, posting relevant reports.
  • Serve as a backup receptionist as needed.
  • Assist the Office Manager with projects and assigned duties.
  • Support the General Manager with various marketing initiatives.

  • Education: Associate degree in Accounting preferred.
  • Customer Service: Demonstrated knowledge of principles and best practices for delivering outstanding customer service.
  • People Skills: Ability to build and maintain effective, cooperative relationships with customers, vendors, coworkers, and management.
  • Administrative Skills: Proficient in clerical and administrative systems including Microsoft 365, Word, Excel, filing and record management, and form creation.
  • Time Management: Strong ability to manage time efficiently and perform productively in a fast-paced environment.
