Role Overview:

Teachstone is looking for a creative and organized collaborator to join the Observation Services team as a Project Coordinator. You are someone who possesses excellent customer service and people skills, a high attention to detail, and enjoys working in a fast-paced, team-oriented environment. Daily responsibilities include managing email communication, supporting client outreach, coordinating with observers on both CLASS protocols and project logistics, as well as data collection. This role may require up to 50% travel.

Role Responsibilities:

  • Observer support and communication
    • Develop protocols for observers
    • Work closely with subcontracted CLASS observers assigned to specific observation projects
    • Onboard subcontracted CLASS observers to specific projects
    • Provide CLASS reliability and calibration support to project specific CLASS observers
    • Understand and enforce project protocols to ensure the observers are meeting client expectations
    • Facilitate weekly observer meetings
    • Review and audit of observations submitted into the data system by observers to ensure scoresheets are complete with evidence and according to protocol
    • Review and approve observer invoices
  • Identify recruitment needs and work closely with Observation Services Manager to ensure internal and external selection of qualified candidates and training
  • Provide scheduling support as necessary for assigned enterprise, video, or other live observation projects
    • Coordinate the scheduling and rescheduling of classroom observations by remote field staff through the use of email communication tools, survey software and Google office software, as needed to support logistics and staffing
    • Assist Project Teams with day-of site communications
    • Communicate directly with clients and school staff when scheduling changes occur, as needed by project
    • Manage multiple Salesforce case queues and related communications, email queues, phone calls, and morning support
    • Work closely with project team and client sites to ensure scheduling communication is accurate
    • Maintain clear records of all scheduling changes
    • Develop and support strong working relationships with remote field staff and clients
  • Review and analyze observation, observer, and client feedback data as needed to drive continuous improvement of observations and services
  • Work closely with the other team members to ensure Teachstone internal protocols are being met
  • Develop and support strong working relationships with clients and other project managers
  • Support the project team in tracking the details of all observations
  • Document efficiencies for management of observation services projects
  • Support with CLASS feedback audits as needed
  • Other duties as assigned

Role Qualifications:

  • Bachelor's degree or an equivalent combination of education and experience
  • Strong Knowledge of and experience with the CLASS methodology required
  • Excellent Excel and Google Sheet Skills
  • Fluency in English required, Spanish fluency a plus
  • Excellent interpersonal skills including a professional and diplomatic demeanor
  • Excellent communication skills including written, verbal and listening
  • Proficient using standard Google office software such as Gmail, Google docs, sheets and presentations
  • Ability to prioritize and manage competing priorities and changing expectations
  • Enjoy working in a highly collaborative, fast-paced, team-based environment
  • Think at both a big-picture and detailed level
  • Experience with Learning Management Systems (i.e Canvas) a plus
  • Comfortable working in person, in the cloud, etc.

Role Preferred Qualifications:

  • CLASS certification in Pre-K, Infant & Toddler tools
  • CLASS Train the Trainer (TTT) certification
  • Current CLASS certification in multiple age levels
  • Multilingual
  • Working knowledge of Salesforce and Timesheet Mobile
  • Experience with Pandadoc, Asana, and Toggl

Salary: $65,100 (Project Based 12-Month Contract)
