POSITION SUMMARY

The Project Coordinator (PC) supports the planning, coordination, documentation, and day-to-day execution of project activities of the American Association of Nurse Practitionersยฎ (AANP) Accreditation, Conference, and Education (ACE) Department. The PC will ensure successful project execution and delivery, while contributing to continued process improvement.


WHERE YOU WILL WORK

This position can be remote, hybrid, or in office. Our office locations are Austin, Texas National Headquarters and Washington D.C. Government Affairs (Arlington, Virginia).


ESSENTIAL RESPONSIBILITIES

You are expected to perform the following essential responsibilities of the position with reasonable accommodation. The position may include other responsibilities as assigned.

  • Supports established department procedures, workflows, and process improvement initiatives for ACE department project work.
  • Works collaboratively with the ACE project team to support the successful execution of internally developed education project initiatives and related projects
  • Provides regular updates to assigned project plans using project management systems and supports periodic review of workflows and tools for continuous improvement.
  • Assists with the planning, coordination, tracking, and follow-up of project activities to help ensure work is completed on time and aligned with project goals, timelines, and resource parameters.
  • Collaborates with project team members to ensure effective communication and coordination throughout the project lifecycle.
  • Coordinates and supports project-related resource needs as well as related materials for internal and external resources.
  • Collaborates with stakeholders to ensure the accuracy, completeness, and timely maintenance of project documentation.
  • Monitors project progress, identifies potential risks or issues, and assists in implementing appropriate solutions.
  • Collaborates with other team members and cross-departmental stakeholders to facilitate efficient workflows, clear communications, and successful project execution as needed.
  • Coordinates contributor onboarding for assigned projects and supports contributor payment workflows in collaboration with the Grant Accounting Specialist and other internal stakeholders.
  • Maintains working knowledge of project coordination practices, systems, and tools relevant to ACE department initiatives

QUALIFICATIONS

Education

Required:

  • Bachelorโ€™s degree in business, finance, education, computer science, or other comparable fields.
  • Equivalent experience in related fields can be substituted for education on a year-for-year basis above the minimum experience requirement.

Experience

Required:

  • Two (2) or more years of experience supporting project management, project coordination, program operations, or a related role, including responsibility for maintaining project plans, coordinating stakeholder communication, and supporting project workflows

Knowledge, Skills, and Abilities

Required:

  • Highly proficient in using Excel or other spreadsheet software to support tracking, reporting, data organization, and analysis.
  • Proficient in Microsoft 365 (Word, Excel, Visio, Outlook, SharePoint, Teams, PowerPoint).
  • Competent ability with Adobe Acrobat and Adobe Sign software.
  • Competent ability using a web-based project management system such as Smartsheet, Monday, Asana, Teamwork, or others.
  • Excellent technical, analytical, and problem-solving skills with the ability to evaluate situations, identify problems, and propose practical solutions.
  • Exceptionally responsive.
  • Excellent communication skills in all areas, with the ability to perform all communications in a courteous and professional manner.
  • Outstanding time management and organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Organized self-starter with the ability to work independently, multitask, and handle timeโ€‘sensitive material in a fast-paced work environment.
  • Strong attention to detail with ability to perform tasks with high level of accuracy and follow-through.
  • Strong interpersonal skills and a demonstrated team player.
  • Strong adaptability and flexibility skills.
  • Ability to work independently with limited supervision.

  • Ability to travel to AANP Conferences at locations within the U.S. when required (3-5% per year).
