Executive Coordinator IV - Mission Support & Integration Position Overview Under limited supervision, provides direct support to the President, Project Manager, and senior management by performing a broad range of compliance and administrative functions. Ensures executive and business operations align with organizational, developmental, and customer needs while maintaining strict confidentiality.

May lead lower-level staff or manage programs and processes, with most time spent directing the design, implementation, and delivery of specialized procedures and policies. Responsibilities may include support across multiple functional areas, along with other duties as assigned: Functional: Conducts complex secretarial and administrative duties and oversees activities of subordinate personnel for the President, Project Manager, and senior management. Regularly accesses and manages confidential information such as, future organizational strategy, bargaining positions, and high-level decision-making.

Obtains, organizes, and synthesizes information for executive use in activities such as, conferences, public speeches, and strategic briefings. Edits, formats, and designs professional documents, including compliance reports, presentations, form content, correspondence, and data entry. Manages executive calendars, coordinates travel itineraries, schedules meetings, and facilitates timely interaction between executives and internal/external stakeholders.

Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often under deadline pressure. At times, may coach, review, and delegate administrative work to lower-level professionals, ensuring quality, consistency, and alignment with organizational standards. Represents the organization as a prime contact and provides a bridge for smooth communication between the President, Project Manager, senior management, corporate, and the customer by demonstrating leadership to maintain credibility, trust, and support.

Develops high-quality written communications for public release and/or utilization by executive leadership, such as press releases, special announcements, workplace posters, and intranet/internet content. Implements internal organizational practices, policies, and procedures to complete critical aspects of deliverables with a hands-on approach and leads other administrative tasks that facilitate the President and Project Manager's ability to effectively lead the organization. Provides recommendations to executive leadership to keep them informed of upcoming commitments, responsibilities, and developments impacting the organization.

Develops complex and compliance-driven internal and external presentations and reports, including contractual documentation and correspondence, in concurrence with federal and state case law, statutes, regulations, and DOE Orders. May manage administrative coordination and consistency across all three sites, including staff delegation and standardization of executive support procedures.
