Job description

Job Title: Data Entry Associate / Records Administrator
Job Description
The Data Entry Associate / Records Administrator accurately enters, verifies, and maintains digital maintenance records in a computerized tracking system. This role ensures that all documentation is legible, correctly indexed, and properly matched to original hard copy records. The position also supports mail processing and participates in peer-to-peer training to promote consistent and accurate record-keeping practices.
Responsibilities
  • Enter and verify information from maintenance documents, including discrepancies and corrective actions, into the computerized maintenance tracking system with a high level of accuracy.
  • Review digital maintenance records for legibility and completeness before indexing.
  • Index each page of digital maintenance documents accurately to ensure easy retrieval and proper organization.
  • Match original hard copy documents to their corresponding digital records and verify that all scanned maintenance documents are legible.
  • Process incoming mail related to maintenance records and ensure documents are properly documented, scanned, and routed.
  • Forward completed work orders and associated documentation to the appropriate library or records repository.
  • Participate in peer-to-peer training to share best practices and support consistent data entry and records management standards.
  • Assist the supervisor with additional duties and projects related to records administration and data entry as needed.
Essential Skills
  • Minimum of 2 years of data entry or equivalent experience.
  • Proficiency in Microsoft Office applications.
  • Strong data entry skills with the ability to maintain accuracy and attention to detail.
  • Typing speed of at least 65 words per minute.
  • High school diploma or equivalent.
  • Previous experience in a records management role.
  • Solid computer skills, including working with digital documents and computerized tracking systems.
  • Ability to review documents for legibility and completeness.
Additional Skills & Qualifications
  • Experience with order entry or similar transactional data entry tasks.
  • Familiarity with document indexing and digital records management systems.
  • Ability to learn and use specialized systems such as computerized maintenance tracking tools and document management platforms.
  • Strong organizational skills and the ability to manage multiple documents and tasks simultaneously.
  • Effective communication skills to support peer-to-peer training and collaboration with team members.
Work Environment
This role operates in a professional office environment, working fully onsite at a corporate office. The standard schedule is Monday through Friday from 8:00 a.m. to 5:00 p.m. The position involves extensive computer and keyboard use, handling digital and physical maintenance records, and processing incoming mail. The dress code is business casual, reflecting a professional yet comfortable workplace setting. The environment offers a strong entry point into a reputable employer in the Columbus area, with opportunities to move into other internal groups after demonstrating strong performance in the role for over a year.

Pay and Benefits
The pay range for this position is $23.00 - $25.00/hr.
