Job description

Primary Purpose of Position:

Provide administrative support for H&S programs by managing records, reporting, training compliance, corrective action tracking, and communication activities across multiple locations.  Their functions would include but NOT limited to the following:

Key Skills of an Effective H&S Administrator:

  • Strong organizational skills
  • Attention to detail
  • Data management and reporting
  • Microsoft Office (especially Excel, Power BI, and SharePoint, Microsoft Forms, OneDrive, PowerPoint)
  • Regulatory knowledge (OSHA, EPA, DOT)
  • Communication and follow-up skills
  • Recordkeeping and document control expertise

Training Administration (30%)

  • Maintain enterprise-wide training matrix.
  • Track required and overdue training across all sites.
  • Schedule virtual and onsite training sessions.
  • Maintain certifications and qualification records.
  • Generate monthly training compliance reports.

Data Management & Reporting (25%)

  • Maintain incident, near-miss, and hazard databases.
  • Update KPI dashboards.
  • Compile monthly site safety statistics.
  • Track Total Recordable Incident Rate (TRIR), Days Away, Restricted or Transferred Rate (DART), near-miss reporting, and safety observations.
  • Prepare reports for leadership reviews.

Corrective Action Tracking (15%)

  • Maintain action-item database.
  • Follow up with site leaders on open actions.
  • Escalate overdue corrective actions.
  • Verify closure documentation.

Compliance Documentation (15%)

  • Maintain OSHA logs and supporting documentation.
  • Organize regulatory inspection records.
  • Manage SDS database.
  • Track required inspections and document retention requirements.

Meeting & Communication Support (10%)

  • Coordinate Safety Champion and Safety Committee meetings.
  • Prepare agendas and minutes.
  • Distribute safety alerts and monthly communications.
  • Maintain SharePoint, Teams, or Loop safety resources.

Miscellaneous Support (5%)

  • Support audits and customer visits.
  • Coordinate recognition programs.
  • Assist with emergency drill documentation.
  • Maintain contractor documentation.

     The Salary Range posted represents Pilkington North America’s good faith and reasonable estimate of the possible compensation at the time of the posting.   Individual pay will vary based on demonstrated job related skills, knowledge, experience, education, etc.
