Job Summary

This role internally supports the sales cycle from bid to contract review. The ideal candidate is proactive, detail-oriented, someone who thrives on deadlines, communication, and organization. You love digging into the details—and enjoy supporting a fast-paced team across multiple territories.

Key Responsibilities and Duties

  • Coordinate the end-to-end public and private bid process, including reading, interpreting, preparing, and submitting all required forms and submittals.
  • Review and interpret specifications, plans, and addenda to ensure full compliance with bid requirements.
  • Create, compile, and manage digital bid folders and all related documentation.
  • Review customer contracts to ensure we are meeting the needs of each specific customer.
  • Communicate with customers regarding changes in contract language.
  • Collaborating with sales reps for alignment on project quotes, cost workups, and the customer contracts.
  • Organize and prioritize tasks to meet hard deadlines and multiple ongoing projects.
  • Ensure that Midstates is represented professionally and accurately in all external bid submissions and communications.

Expertise

  • Strong administrative, organizational, and written communication skills
  • Excellent attention to detail, time management, and ability to meet deadlines
  • Ability to communicate clearly and collaborate with internal and external teams
  • Adaptable and able to juggle changing priorities in a dynamic environment
  • Self-motivated, with a sense of urgency and accountability
  • High proficiency in Microsoft Office and PDF editing tools (Adobe, BlueBeam); familiarity with CRM systems and Adobe Creative Suite a plus.
  • Ability to work independently while aligning with company goals and leadership direction
  • Preferred experience in supporting formal bid submissions and contract review
