This position performs responsibilities as receptionist and offers administrative support to the department. Primary duties for this position involve assisting the Director of Human Resources in employment processes for students, staff and faculty. Primary skills needed to successfully perform in this position include effective communication and strong interpersonal skills, attention to detail, administrative and organizational skills.  

 This position must be performed 100% on site at the Simpson University campus (not a remote or hybrid work opportunity).

Qualifications:

1.        Bachelor’s degree preferred, but not required

2.        One year of recent office admin experience or education equivalent. Prior Human Resources experience is preferred

3.        Must be self-motivated, dependable and able to work with minimal supervision

4.        Proficient with Microsoft Office software (e.g. Word, Excel, Access, etc.)

5.        Experience with human resource information systems (HRIS) and payroll programs preferred. Willingness and aptitude to learn new programs as needed. Experience with institutional integrated database is a plus.

6.        Exemplary organizational skills in the performance of job duties with the ability to pay attention to details

7.        Highly professional in demeanor, presence and communication skills

8.        Demonstrated experience working efficiently on tasks and meeting established deadlines

9.        Ability to maintain a high level of confidentiality and discreteness regarding sensitive information

Essential Functions:

1.        Professionally answer, appropriately respond and route incoming phone calls and emails received to the department

2.        Assist and/or refer those who come into the office with questions regarding any employment-related matter

3.        Input accurately employee information such as demographics, tax, payroll and benefit information into the human resources information system (HRIS), the University’s main enterprise resource planning (ERP) and any external benefit carrier site or program as needed

4.        Coordinate and communicate regularly with Payroll Specialist to ensure new employee information and change of status are entered accurately and timely to reflect appropriately in payroll

5.        Assist with processing of payroll and perform payroll duties in absence of payroll specialist, as needed

6.        Perform various daily and weekly time-sensitive tasks and processes essential to the department (including processing background checks, employment verifications, application processing, onboarding, etc.)

7.        Support other human resources staff in performance of various human resources responsibilities (payroll, data gathering and reporting, website, communication, hiring process, benefits, audits, etc.)

8.        Create job requisitions, work with hiring supervisors on appropriate advertising, manage online applications, communicate and coordinate with candidates in a professional manner

9.        Assist in coordinating the employment processes for all employees, prepare incoming new hire documents

10.     Welcome new employees to the university and conduct new employee orientations

11.     Complete verifications of employment for current and former employees

12.     Responsible for diverse administrative support tasks in support of the human resources department (including scheduling, filing, copies, scanning, shredding, etc.)

13.     Perform special projects and prepare reports for human resources department as requested

Related Responsibilities:

1.        Assist in the maintenance of HRIS and institutional integrated databases

2.        Assist in maintaining office equipment and supply inventory

3.        Provide support for various departmental communications

4.        Research, report, and implement resulting strategies on various human resources topics and issues, as requested

5.        Participate in recruiting, hiring and selection process of employees, including screening candidates and scheduling interviews, as requested

6.        Organize and maintain human resources files

7.        Monthly reconciliation of department credit card statement
