Document Control Assistant

Location: Kansas City, MO

Onsite Flexibility: Onsite

Contract Details

Position Type: Contract

Contract Duration: Year-long contract-to-hire with strong potential for extension or conversion

Pay Rate: $22.00-$26.00 / Hour (USD)

Shift / Schedule: First shift (days), 5 days per week onsite

Job Summary

This position will assist the document control team and Project Managers to deliver quality materials and input information on engineering projects. Responsible for set-up for multiple small projects; assist on medium and larger sized projects as needed. This role supports multiple engineering and construction projects by managing project documentation across several systems. The individual will work closely with project engineers, vendors, and clients to ensure all documentation is accurate, compliant, and properly archived. This is a 100% onsite position based in the Kansas City office.

Key Responsibilities
  • Assist the document control team and Project Managers to deliver quality materials and input information on engineering projects
  • Receive documents from Engineers and shop drawings from vendors
  • Perform quality checks to ensure accuracy, compliance, and adherence to standards
  • Upload, manage, and maintain documents within multiple document management platforms
  • Support Project Engineers and clients across multiple concurrent projects
  • Manage documentation for an average of 5-6 projects, each with approximately 20 contracts per project
  • Responsible for set-up for multiple small projects; assist on medium and larger sized projects as needed
  • Collaborates to set-up the standards and procedures for the team
  • Communicate document system procedures with team members
  • Coordinate documents with multiple engineers for project needs
  • Compile electronic project data books
  • Issue transmittals to clients and vendors
  • Process vendor submittals
  • Package electronic documents for clients, vendors, and internal needs
  • Ensure all documents leaving the system are accurate and follow established procedures
  • Notify appropriate person of troubleshooting issues regarding vendors and clients
  • Monitor workflows for the project team
  • Adapt to evolving client requirements, processes, and priorities
  • Maintain high levels of integrity, organization, and attention to detail
  • Perform other duties as assigned

Required Skills
  • Strong computer skills with Microsoft Office (Word, Excel, Access)
  • Required Knowledge of Microsoft Office including Word, Excel, and Access
  • Highly detail-oriented, accurate, and process-driven
  • Ability to work across multiple platforms simultaneously
  • Accurate data entry skills
  • Candidates should possess accurate data entry skills
  • Strong adaptability - ability to adjust quickly to changing priorities and processes

Preferred Skills
  • Document control or document management experience (2-5 years ideal)
  • Experience with Hexagon SDX / SDS, ACONEX, STX, Procore, or SharePoint
  • Engineering or construction industry experience
  • Archiving or records management experience
  • Research-based roles as a substitute for formal document control experience
  • Computer savvy and comfortable learning new systems
  • Highly adaptable and quick on their feet
  • Takes ownership and pride in their work
  • Self-motivated with a strong sense of accountability
  • Comfortable working with stakeholders ranging from engineers to executive-level professionals
  • Construction or engineering company background
Education Requirements
  • High School Diploma/GED and 3 years applicable experience Required, OR
  • Applicable experience may be substituted for the education requirement. Required
  • College degree required (Bachelor's preferred; Associate's accepted)
Required Experience
  • Minimum 2 years of experience (4 years preferred; no cap on experience)
  • Longevity in prior roles is important (no job hoppers)
Work Environment / Physical Requirements
  • 100% onsite position - 5 days per week in Kansas City office
  • Must be able to work onsite in Kansas City
  • Other team members sit in Ohio, Oklahoma, and Chicago
Important Notes
  • Interview process: First round is a 30-minute interview with Kim Rogers; second round is an in-person panel interview with additional team members
  • Candidates must be willing and able to adapt to evolving processes and priorities
  • Previous candidates submitted may be resubmitted
  • The team is targeting submission of at least three strong, qualified candidates
  • Not from a finance-focused background preferred
