MITRE's Center for Engineering and Analysis, within MITRE Technology & Engineering, is seeking an experienced Executive Assistant to support a Vice President. This role is responsible for the efficient and proactive management of operational and administrative activities for the office while maintaining the highest professional standards. The Executive Assistant will regularly partner on senior leader calendar management, event coordination, leadership priorities, and other activities that support organizational objectives and broader company goals. The ideal candidate has provided executive-level administrative support to senior leaders in a large, complex organization within the last two years.

The Center for Engineering and Analysis plays a key role in helping MITRE adapt to a rapidly evolving technology landscape. As organizations look for faster paths from problem definition to experimentation, integration, and practical outcomes, the center is advancing the next generation of systems engineering by bringing together engineering, modeling, analysis, simulation, and experimentation. The center also helps MITRE apply artificial intelligence and commercial technologies in ways that increase speed and impact while maintaining the rigor and technical excellence the organization is known for. Working closely with leadership across the company, the Vice President and team bring these capabilities to the earliest stages of strategy and solution development.

This position is onsite full-time in Bedford, MA. Candidate must be local to the area.

Roles & Responsibilities:

  • Managing the VP's daily schedule, anticipating goals and requirements, and the ability to prioritize and swiftly execute a high volume of internal/external requests, scheduling, meeting coordination, and office collaboration.
  • Engaging with the VP and responding quickly and efficiently to rapidly changing requests and anticipating needs of the office in alignment with the VP's identified priorities and corporate goals.
  • Preparing and processing expense reports promptly on behalf of the VP and office.
  • Working independently exercising awareness of important assignments prioritizing adhoc requests from team members.
  • Engaging with Board Members, external partners, and senior executives from government, commercial industry, and academia, coordinating all aspects of sponsored events and internal/external office visits.
  • Event planning, coordinating, and supporting meetings, presentations, and employee engagement events hosted by the office.
  • Maintaining security of highly sensitive and confidential information.
  • Contributing to a collaborative atmosphere among the Executive Admin team at the McLean and Bedford campuses, serving as a valuable and dependable colleague where roles may temporarily be covered for each other in case of vacation, illness, etc.
  • Coordinating with Executive Admin team to support Executive Leadership Staff meetings, Officer Meetings, and ad hoc meetings which includes the shared responsibilities of securing VTC rooms; coordinating agendas; gathering, delivering, and posting read-ahead materials, taking notes, and identifying post-meeting action items.
  • Manage and execute Workday actions on behalf of the VP, including approvals, workflow follow-ups, and system updates to ensure timely and accurate processing.

Basic Qualifications:

  • Typically requires a Bachelor's degree and a minimum of 2 years of related experience; or an advanced degree with relevant experience who can immediately contribute at this job step; or equivalent combination of related education and work experience.
  • Advanced proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams).
  • Expert-level proficiency in Microsoft Outlook, including complex calendar management, meeting coordination, and inbox management.
  • Demonstrated ability to independently use and troubleshoot current mobile, desktop, and virtual meeting technologies (e.g., Apple devices such as iPhone, Mac, iPad; Microsoft Teams; Zoom; VTC systems).
  • Ability to work on-site in Bedford, MA Monday–Friday, with flexibility to provide occasional off-hours support.
  • Must have an active Secret U.S Government issued Security Clearance.
  • Per the U.S. Government's eligibility requirements, you must be a U.S Citizen to be considered for a security clearance.
  • This position has an on-site requirement of 5 days a week on-site

Preferred Qualifications:

  • Active Top Secret U.S Government issued Security Clearance.
  • Experience with expense management software (e.g., Concur).
  • Experience with Workday or similar HR/enterprise systems.
  • Prior experience supporting C-suite or senior executives in a fast-paced environment.
  • 5 + years of experience supporting C Suite level executives
  • Demonstrated poise, professionalism, tact, and discretion when working under time pressure with highly sensitive information and a wide range of stakeholders (corporate executives, government officials, customers, employees, and support personnel).
  • Exceptional interpersonal, written, and verbal communication skills.
  • Proven ability to collaborate effectively and build strong working relationships across teams and levels.
  • Strong independent judgment, accuracy, and meticulous attention to detail, with consistent follow-through on a broad range of administrative tasks.
  • Strong self-organization and time management skills, with a high degree of initiative and the ability to prioritize competing demands.
  • Exceptional organizational skills and a project-management mindset toward managing office responsibilities and recurring processes.
  • High-energy self-starter who operates effectively in evolving situations with limited information.
  • Exercises sound judgment to move work forward autonomously when explicit guidance is not provided.

Salary compensation range and midpoint: $88,000 - $110,000 - $132,000 Annual
