About the JobAs a
Mitigation Project Coordinator, you play a critical
administrative and operational role supporting mitigation projects from start to finish. Working
in-person from our Southampton, NJ office, you provide the structure, organization, and communication that allows Mitigation Project Managers and field teams to perform at their best.
This role is the backbone of the mitigation operation-coordinating schedules, maintaining accurate documentation, supporting financial and reporting processes, and ensuring clear, timely communication between internal teams, clients, vendors, and insurance partners. Your ability to take control behind the scenes ensures projects move forward efficiently and predictably during chaotic situations.
What You'll Doโข Coordinate clerical, administrative, and accounting functions for mitigation projects
โข Support Mitigation Project Managers and Operations leadership with daily project coordination
โข Maintain accurate job files, notes, and documentation within
PSA โข Track project schedules, appointments, and workflow from beginning to end
โข Coordinate office schedules and communicate with customers regarding arrivals, changes, or delays
โข Assist with collections processes, including deductibles, progress payments, and final payments when needed
โข Coordinate and communicate with insurance companies, adjusters, agents, vendors, and clients throughout the project lifecycle
โข Prepare, review, complete, and route project-related forms, paperwork, purchase orders, and work orders
โข Perform project tracking and reporting, including schedules, metrics, and operational reports using
Power BI โข Provide quick, accurate responses to vendors, agents, and clients
โข Support office staff, production management, and sales teams as needed
โข Answer incoming calls, direct inquiries, and assist clients professionally and empathetically
โข Demonstrate a positive and professional image of the company through written, verbal, and visual communication
โข Apply all safety rules and regulations and help prevent work hazards
โข Perform other administrative and coordination duties as assigned
