PROJECT COORDINATOR

Pay: $24.50 - $28.50 per hour (approximately $50,000 - $58,000 annually)

As a Project Coordinator, you play a critical administrative and operational role supporting mitigation projects from start to finish. Working remotely and in-person (~3-4 days per week) from our Cincinnati, OH office, you provide the structure, organization, and communication that allows Project Managers and field teams to perform at their best.

This role is the backbone of the mitigation operation-coordinating schedules, maintaining accurate documentation, supporting financial and reporting processes, and ensuring clear, timely communication between internal teams, clients, vendors, and insurance partners. Your ability to take control behind the scenes ensures projects move forward efficiently and predictably during chaotic situations.

Coordinate clerical, administrative, and accounting functions for mitigation and rebuild projects
  Support Project Managers and Operations leadership with daily project coordination
  Maintain accurate job files, notes, and documentation within PSA (our job management software)
  Track mitigation and rebuild project schedules, appointments, inspections, material deliveries, subcontractor workflows, and overall project workflows from beginning to end
  Coordinate office schedules and communicate with customers regarding arrivals, changes, or delays
  Assist with collections processes, including deductibles, progress payments, and final payments when needed
  Coordinate and communicate with insurance companies, adjusters, agents, vendors, and clients throughout the project lifecycle
  Prepare, review, complete, and route projectrelated forms, paperwork, purchase orders, and work orders
  Perform project tracking and reporting, including schedules, metrics, and operational reports using Power BI
  Provide quick, accurate responses to vendors, subcontractors, agents, and clients
  Support office staff, production management, and sales teams as needed
  Answer incoming calls, direct inquiries, and assist clients professionally and empathetically
  Demonstrate a positive and professional image of the company through written, verbal, and visual communication
  Apply all safety rules and regulations and help prevent work hazards
  Perform other administrative and coordination duties as assigned

Requirements

Excellent timemanagement and organizational skills
  Strong written and verbal communication skills
  Ability to manage multiple priorities in a fastpaced environment
  Professionalism, attention to detail, and reliability
  Ability to apply basic mathematical and accounting concepts
  Experience using job management systems; PSA experience strongly preferred
  Experience creating, maintaining, or working with reports and dashboards; Power BI experience required
  Reliable attendance and punctuality

Knowledge of the restoration or construction industry with emphasis on Xactimate experience
  Experience supporting Project Managers or Operations teams
  Experience coordinating insurancerelated workflows, including TPAs/program work
  Associate's degree and/or Bachelor's degree preferred
