Operations Administrative Assistant

Location: On‑site

Schedule: Monday–Saturday, 6:00 a.m. – 4:30 p.m. (overtime + weekends required)

Employment Type: Hourly Paying role, Union Role (Full Union Benefits)

About the Role

We are seeking an Operations Administrative Assistant to provide essential documentation and administrative support to our engineering and manufacturing teams. This role plays a key part in producing and organizing shop sets, entering accurate data into NetSuite, and managing job order paperwork to ensure smooth project execution and effective inventory management.

You will work closely with project engineers, project managers, manufacturing leadership, and engineering teams to keep information flowing efficiently and ensure all documentation meets ISO and internal quality standards.

Key Responsibilities
  • Produce complete and accurate shop sets for manufacturing project teams.
  • Build and organize document sets for operations and maintenance leadership.
  • Perform accurate data entry into the ERP system (NetSuite).
  • Mark and record quantity counts on shop sets to support inventory and production planning.
  • Manage the flow of job order paperwork between office and project teams.
  • Follow ISO requirements and internal documentation standards.
  • Operate printing equipment to produce and update physical documentation.
  • Use Microsoft Outlook and task management tools to track and prioritize work.
  • Utilize PDF editing programs to update, annotate, and prepare documents.
  • Communicate with drafters, designers, engineers, and shop personnel to gather information and resolve documentation issues.
  • Go onto the shop floor as needed to collect documentation and coordinate with departments.
  • Work professionally as a team player and assist other departments as needed.
  • Maintain regular and predictable attendance, including overtime, weekends, and holidays when required.
  • Perform additional duties and projects as assigned.
Essential Skills & Qualifications
  • Minimum 1 year of experience in administrative, operations, or documentation support.
  • High school diploma or equivalent.
  • Accurate data entry skills, preferably in NetSuite or similar ERP systems.
  • Strong organizational skills with the ability to manage multiple tasks and documents.
  • Ability to count, sort, and track documents and materials.
  • High attention to detail in documentation and data entry.
  • Ability to operate printing equipment and basic office technology.
  • Strong communication skills for working with engineering and shop teams.
  • Proficiency with Microsoft Outlook and task management systems.
  • Ability to use PDF editing tools for document updates and preparation.
Preferred Qualifications
  • Technical degree or technical education
  • Experience supporting engineering, manufacturing, or industrial operations.
  • Familiarity with ISO documentation requirements.
  • Comfortable working both in an office environment and on the shop floor.
  • Demonstrated ability to support cross‑functional teams.
Work Environment & Schedule
  • Hourly union position with full union benefits.
  • Overtime after 8 hours daily and double‑time after 60 hours weekly.
  • Standard schedule: Monday–Saturday, 6:00 a.m. – 4:30 p.m.
    • Saturday shift may end around noon depending on workload.
  • Newly renovated office located within a shop environment.
  • Access to on‑site gym and modern amenities.
