Job description

Williams College Office for Student Involvement and Events is recruiting for a Temporary Student Involvement & Events Assistant to join their team this fall from August 2026 through October 2026. The Temporary Student Involvement & Events Assistant will report directly to the Associate Director of Student Centers & Events.

Primary responsibilities include:
  • Advise All-Campus Entertainment (ACE) on organization, programming, and budgetary responsibilities, maintaining open communication and transparency with Student Government.

  • Facilitate day-to-day operations of the college's room scheduler program (EMS) for select spaces.

  • Oversee and manage the ACE purchasing card and coordinate billing, invoices, and paperwork.

  • Coordinate logistical arrangements for student and OCL events, including equipment rentals, catering requests, permit tracking, supply orders, and inventory.

  • Manage student event registrations, coordinate certified host/server tracking, and handle correlated communications.

  • Manage specialty event processes, such as student tailgating registrations for the Homecoming Football game.

  • Assist the Associate Director with the Senior Class Events Committee to oversee the annual planning and execution of traditional events (Senior Fall Formal, 100 Days, and Senior Week).

  • Supervise temporary employees for major class programs.

  • Assist with the planning and execution of major OCL-related traditions, including the Purple Key Fair, Student Jamboree, Homecoming, Winter Carnival, and Spring Fling.

  • Provide comprehensive administrative support to the Associate Director for Student Centers & Events.

Qualifications
  • Minimum Education/Experience: High school diploma or equivalent with a minimum of 2 years of related experience, or an equivalent combination of education and experience.

  • Specialized Knowledge: Significant proficiency in Microsoft Office and Google Suite. Ability to quickly learn and utilize specialized enterprise software (such as EMS Room Scheduler).

  • Core Competencies: Strong organizational, budgetary, and problem-solving skills with an attention to detail. Ability to apply and interpret college event policies in an equitable, fair, and consistent manner.

  • Communication & Collaboration: Strong written and verbal communication skills across multiple methods (phone, email, etc.) to engage effectively with students, external vendors, and campus partners. Must be able to work both independently and cooperatively within a team environment.

Rate of Pay: $21.00 per hourWorking Conditions & Physical Demands
  • This is a temporary, non-benefitted, hourly job. Temporary employment does not

  • This opportunity offers up to 40 weekly hours for the following time period: 08/14/2026-10/30/2026, subject to change if needed.

  • This job will operate out of a high-traffic, collaborative office environment in the Paresky Center.

  • Standard office hours are Monday - Friday, 8:30 am - 5:00 pm

  • Overtime, evening, and weekend hours will be required at certain peak points throughout the year to execute on-site event logistics.

  • The position requires the physical stamina to work long hours during events, the ability to access various spaces across campus, and the ability to handle significant amounts of carrying and moving of equipment and event supplies.
