Office Manager duties and responsibilities include providing administrative support to ensure efficient operation of the office. The Office Manager will support managers and employees through a variety of tasks related to organization and communication.
Duties/Responsibilities:
- General data entry in ERP system.
- Receives and handles requests from customers and distributors for price quotes, purchase orders, order adjustments, and order cancellations.
- Maintain training & support calendar.
- Order office supplies, drinks, snacks and restock daily.
- Builds rapport with customers and works to ensure they receive excellent customer service.
- Put together "swag bags"
- Welcome guests
- Ensure office/conference room areas are well kept.
- Provides pricing, delivery, and other order information to customers.
- Handle a high volume of inbound and outbound calls for new orders to confirm information to process orders.
- Uses computer database (WMS) to retrieve necessary customer information, inventory information, and purchase order status.
- Drafts purchase orders and invoices to submit to both vendors and the accounting department.
- Maintains files of active orders and updates with changes to customer accounts or orders.
- Schedule and coordinate facilities maintenance items as requested.
- Performs other related duties, as assigned.
Requirements:
- One year of experience in customer service or order processing is required.
- Data entry experience a plus.
- Proficient in MS Office. Willingness to learn database and ordering systems. Salesforce and/or Spectrum knowledge preferred.
